Position Summary

The Administrative Assistant position is full-time, 40 hours per week (non-exempt, benefits available) and will take place primarily at our Little Village or Midway location. The Administrative Assistant will perform key administrative related tasks that include maintaining personnel records, and assisting with all compliance, and onboarding logistics. May require some local travel (reimbursable). Pay commensurate with experience. This position is in-person.

Job Responsibilities

  • Assists the Human Resources team with all administrative tasks as needed.
  • Maintains a clean, safe office space.
  • Orders office supplies as needed.
  • Assists with tracking technology as needed.
  • Maintains personnel records up to date and filed (soft and hard copies).
  • Assists with preparing paperwork for HR policies and procedures.
  • Assists with all HR audits.
  • Makes sure all employees are up to date with yearly compliance (Mandated Reporter, Sexual Harassment Training, Fingerprints, CANTS forms, etc.)
  • Process employees’ requests and provide relevant information.
  • Coordinate HR projects, meetings, and trainings as needed.
  • Assists HR Specialist with phone screenings and scheduling interviews for managers/supervisors.
  • Assists with all onboarding coordination and logistics including but not limited to offer letters, onboarding packets, and orientation day.
  • Maintains confidentiality.
  • Participates in required evaluations and audits.
  • Demonstrates New Life Centers’ values.
  • Attends required meetings and trainings.
  • Other duties as assigned by the Supervisor.

Skills & Qualifications

  • Must become a Certified Mandated Reporter. Training provided.
  • Must pass a background check, must not have any pending cases.
  • Must pass a Child Abuse and Neglect Tracking System background check.
  • Must pass a National Sex Offender Registry background check.
  • Must have a working phone and phone number.
  • One year experience working in the human services field or hospitality.
  • High School Diploma required; associate degree preferred.
  • Work experience as an Assistant, Personal Assistant, or similar role.
  • Cross-cultural competency.
  • Excellent verbal and written communication skills.
  • Ability to effectively work independently, problem-solve, multi-task and take initiative.
  • Organization and time management skills.
  • Detail oriented.
  • Excellent MS Office knowledge.
  • Familiarity with office machinery and applications (e.g., e-calendars and copy machines).
  • Must be willing to be trained, and proficiently utilize database(s) and information tracking systems relevant to duties.
  • Discretion and confidentiality.
  • Ability to establish and maintain effective working relationships with others.
  • Valid Illinois driver’s license, insurance, good driving record, access to a vehicle. Subject to driving background check.
  • Bilingual English/Spanish preferred but not required.
