Job Title: Human Resources Assistant

Minimal Qualifications/Experience/Skills: High School Diploma or equivalent from an accredited school/program 2 + years of administrative/office experience.

Must have strong organizational skills and be able to handle multiple projects simultaneously and meet deadlines consistently.

Reports To: Director of Human Resources

Summary The Human Resources Assistant is responsible for assisting with the administration of the day-to-day operations of the Human Resources Department.

Responsibilities: Assist with the day-to-day efficient operation of the HR office. Primary point of contact for basic employee inquires and paperwork. Meet employees when they drop off paperwork; process paperwork accordingly or provide to the correct department Provide employee with copies of blank documents Maintain adequate supply of all forms necessary for the department. Assist with verification of employment for new hires. Prepares all documentation for new hire orientation. Coordinate new hire orientation with other departments (IT, Facilities, QA, etc.) to ensure employee is ready to start on anticipated start date. Weekly notification of new hire orientation to applicable staff. Enter all new hire employee data into HRIS. Process all new hire paperwork with payroll/finance; upload new hire Request to Hire Forms. Upload PACFS and Termination PACFs Create and maintain personnel files for all staff and medical files; ensuring compliance with federal and state laws in addition to all applicable monitoring sources and organizational standards; complete all HR filing in an effective, accurate and efficient manner. Verify, process and maintain I-9 documentation for all active and terminated employees. Responsible for providing a summary overview of eligible benefit offerings to all new hires. Reconcile benefits/invoices on a monthly basis. Ongoing data entry into HRIS and other HR data Systems (requirements, licensing, etc). Tracks all organizational trainings and requirements including but not limited to licensing information, auto insurance, driver’s license, PPD test results, annual trainings). Follow up with managers/supervisors and employees to ensure compliance. Work closely with Supervisors and Managers to ensure performance reviews are being conducted in a timely manner; send out monthly report. Conduct internal departmental audits; Audit files as needed and/or as requested. Completes all verifications of employment in a timely manner (internal/external requests). Assist with Benefit Open Enrollment. Performs HR related projects as needed/required. Prepares HR reports as needed/requested. Performs other duties as assigned.
