Job DescriptionJob DescriptionAlliance Franchise Brands is seeking a Project Administrator.  This position is responsible for supporting the planning, execution, and completion of various projects within AFB. This role involves coordinating resources, communication with stakeholders, managing documentation, and ensuring that project milestones are met on time and within budget. This position requires a deep understanding of monday.com project management software along with a high level of organization, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.

Note: Hybrid work schedule with at least 2 days each week in office

Essential functions
  • Administrative Support:
    • Administer monday.com and make changes as required
    • Schedule and organize project meetings.
    • Prepare and distribute meeting agendas and minutes.
    • Maintain project documentation and records.
  • Project Coordination:
    • Assist in the development of project plans and timelines.
    • Coordinate with different departments to ensure project tasks are completed or on track to be completed.
    • Monitor project progress and report any issues to the PMO team.
  • Communication:
    • Act as a liaison between project teams, team members, and other stakeholders.
    • Ensure clear and consistent communication throughout the project lifecycle.
    • Prepare and distribute regular project updates and reports.
  • Resource Management:
    • Track project resources and ensure they are allocated efficiently.
    • Coordinate with vendors, team members, and Franchise Members where applicable to ensure timely delivery of project components.
  • Risk Management:
    • Identify potential risks and issues that may impact project delivery and escalate them to the project manager.
    • Assist in the development of mitigation strategies and contingency plans.
  • Compliance and Quality Control:
    • Ensure that all project activities comply with company policies, franchise agreements, and regulatory requirements.
    • Support quality assurance processes by tracking deliverables and ensuring that they meet established standards.

Required education and experience
  • Bachelor’s degree in business administration, project management, or a related field with 2+ years of experience in project administration or a similar role.
  • Proficiency in project management software (e.g., monday.com, Microsoft Project, Trello, Asana).
  • Proficient in Microsoft Office

Preferred education and experience
  • monday.com experience a plus
  • Preferred experience in franchising or multi-brand environment
  • Knowledge of project management methodologies (e.g., Agile, Waterfall)
  • Working towards certification in project management (e.g., PMP, CAPM)
