Healthcare Administrative Coordinator

Position Overview
The Medical Office Reception Coordinator plays a crucial role in facilitating the administrative functions of the healthcare facility. This position is dedicated to ensuring a well-organized office environment, assisting the Office Manager, and fostering a friendly atmosphere for patients and their families. The coordinator is also responsible for delivering empathetic and informative assistance to patients while handling communications, documentation, and telephone inquiries.
Key Responsibilities
- Provide assistance to patients and referring healthcare providers both in-person and via phone, directing inquiries to the appropriate personnel.
- Confirm patient eligibility and insurance coverage prior to scheduled appointments.
- Secure necessary referrals or insurance authorizations ahead of patient visits.
- Maintain patient accounts by accurately recording and updating personal and financial details essential for insurance billing.
- Organize and manage the office filing system, ensuring easy retrieval of patient records.
- Welcome patients upon arrival, assist with check-in processes, and collect insurance information and other required data.
- Distribute intake and new patient forms to patients.
- Offer support and guidance to patients as needed throughout their visit.
- Provide coverage until the office closes for the day or until the last patient has departed.
- Coordinate the flow of patient appointments in collaboration with clinical staff.
- Manage patient expectations during any delays in service.
- Safeguard patient rights by maintaining confidentiality regarding medical, personal, and financial information.
- Ensure adherence to all HIPAA regulations.
- Collect co-pays, co-insurance, and outstanding balances at the time of service, and establish payment plans as necessary.
- Schedule initial and follow-up appointments for physicians, clinicians, and ultrasound labs.
- Complete additional projects as assigned.
- High School diploma required; Associate's or Bachelor's degree preferred.
- A minimum of 1 year of administrative support experience is required, with preference for experience in a healthcare setting.
- Familiarity with multi-line phone systems is essential.
- Ability to maintain a professional demeanor in a fast-paced environment.
- Excellent verbal and written communication skills are necessary.
- Prior experience with Microsoft Office Suite is preferred.
- Willingness to be available for local and/or regional assignments as needed.
- Knowledge of HIPAA, Medicare, and commercial insurance is preferred.
- Capability to perform multiple tasks effectively in a busy medical environment.
