Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide exceptional support to our department members. As a key member of our team, you will be responsible for providing administrative and project-specific support, including scheduling meetings, coordinating travel arrangements, preparing presentations, and maintaining tracking spreadsheets.

Key Responsibilities:

  • Provide general administrative support, including typing, word processing, presentations, and spreadsheets.
  • Support department employees and activities with copying, tracking, distributing, and filing documents, and assembling and mailing documents.
  • Assist with set-up and maintenance of department files.
  • Schedule on and off-site departmental meetings, including arranging for meeting venue, room reservations, travel arrangements, meeting equipment, and supplies.
  • Coordinate shipment of supplies and documents.
  • Perform other project-related activities as assigned.
  • Handle miscellaneous tasks as assigned by supervisor and others in the department.

Requirements:

  • High School Diploma required.
  • 2+ years of administrative assistant experience within the pharmaceutical industry.
  • Strong organizational skills and attention to detail.
  • Ability to process multiple tasks with a high degree of accuracy.
  • Ability to take instructions from various sources and prioritize tasks.
  • Maintain familiarity with relevant FDA/ICH guidelines and regulations as needed.
  • Must possess excellent technical administrative and communication skills.
  • Communicate effectively and with courtesy to internal and external staff, vendors, and customers.
  • Proficiency in E-mail, Word, Excel, PowerPoint, and Outlook; Proficiency in MS Project is a plus.

Working Conditions:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Compensation:

  • $39.00 per hour
  • 40 hours per week
