Position Summary: 

As the Administrative Assistant, you will hold a key position that is integral to the success of  our firm. Your role is not just about keeping the office running smoothly but also about  supporting our team’s mission to deliver outstanding client service. You will be at the heart of  our operations, ensuring our office functions efficiently while providing crucial support to clients,  financial coaches, and management. 

Key Responsibilities: 

● Oversee daily office operations, ensuring smooth opening and closing procedures. ● Maintain a clean, organized, and welcoming workspace for clients and staff. ● Greet clients, offer refreshments, and provide exceptional customer service. ● Enhance and maintain office systems and processes to support business growth and  operational efficiency. 

● Answer phones, manage scheduling, and confirm client appointments. ● Address and resolve client requests and service needs within 24 hours or by the  promised due date. 

● Prepare, file, and maintain accurate client records both physically and digitally. ● Support financial coaches and associates with preparing new account paperwork and  processing daily deposits and receipts. 

● Manage office supplies and equipment, and coordinate repairs or service needs as  necessary. 

● Maintain technology systems, troubleshoot issues, and propose updates. ● Ensure compliance files are accurate and up-to-date, assisting with audits and reviews. ● Assist with creating, distributing, and tracking marketing materials, including newsletters  and event invitations. 

● Help manage and update the company’s online presence, including the website and  social media accounts. 

● Organize and attend weekly team meetings, prepare agendas, and disseminate meeting  notes.

● Coordinate office events and communicate with vendors to ensure smooth execution. ● Process and handle incoming and outgoing mail, including promotional and client-related  materials. 

Qualifications: 

● High school diploma required; advanced education is a plus. 

● At least 5 years of administrative experience, preferably in a small business or growing  office environment. 

● Financial services industry experience is preferred, but a willingness to learn is essential. ● Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity  with online contact management systems. 

● Strong organizational skills, attention to detail, and ability to prioritize tasks effectively. ● Excellent verbal and written communication skills, with a professional demeanor. ● Ability to work independently, lead projects, and collaborate effectively with a team. 

Training Requirement: 

Successful candidates must complete a paid 3.5-day training program within the first 3  months of employment. The Landmark Forum is comprehensive training designed to ensure  the candidate has the background and fundamentals in communication required for our firm. In  addition they must attend the American Dream Experience, a 2-day seminar designed to  ensure familiarity with our investment philosophy.  

Compensation & Benefits: 

● This is a full-time position with a starting salary range of $15-$18 

● Salary will be reviewed and increased after a 3-month probationary period, pending  successful completion of training and performance evaluation. 

● After the probationary period, you will become eligible to participate in the company’s  Simple IRA plan. 

● Employees receive 5 paid holidays and 5 additional personal days to start.
