Position Overview
The Medical Front Desk Receptionist plays a crucial role in facilitating the administrative functions of our healthcare facility. This position is essential in maintaining an organized and welcoming atmosphere for patients and their families. The receptionist will provide empathetic and informative assistance to patients while managing communications, documentation, and phone inquiries.
Key Responsibilities
- Assist patients and referring providers both in person and via phone, directing inquiries to the appropriate personnel.
- Confirm patient eligibility and insurance coverage prior to appointments.
- Secure referrals or insurance authorizations ahead of patient visits.
- Maintain patient accounts by accurately recording and updating personal and financial information necessary for insurance billing.
- Organize and manage the office filing system, ensuring easy retrieval of patient records.
- Welcome patients upon arrival, facilitate check-ins, and collect insurance information and other essential data.
- Provide new patients with intake forms and necessary documentation.
- Offer support and guidance to patients as required.
- Ensure coverage until the office closes or the last patient has departed.
- Coordinate the flow of patient appointments in collaboration with clinical staff.
- Manage patient expectations during any delays.
- Safeguard patient rights by maintaining confidentiality of medical, personal, and financial information.
- Adhere to all HIPAA regulations.
- Collect co-pays, co-insurance, and outstanding balances at the time of service; establish payment plans as necessary.
- Schedule initial and follow-up appointments for physicians, clinicians, and ultrasound labs.
- Complete additional projects as assigned.
Qualifications
- High School diploma required; Associate's or Bachelor's degree preferred.
- Minimum of 1 year of administrative support experience; experience in a healthcare setting is a plus.
- Familiarity with multi-line phone systems.
- Ability to maintain professionalism in a fast-paced environment.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite is preferred.
- Willingness to be available for local and/or regional assignments as necessary.
- Knowledge of HIPAA, Medicare, and commercial insurance is advantageous.
- Capability to manage multiple tasks in a busy medical environment.
