We are currently looking for an Administrative / Receptionist Assistant for a contract position with the Department of Justice / United States Attorney’s Office (USAO) located in Kansas City, MO. This is initially for a 1-year contract with 2 additional optional years (for a total of 3 years) with the USAO. Candidates must be U.S. Citizens and be able to clear an extensive background check / clearance investigation by the Department of Justice.


The individual will support the Administrative Division and provide the administrative and clerical duties outlined below:

  • Performs receptionist functions, such as receiving and screening visitors and phone calls.
  • Issues visitor badges, maintain sign-in logs, and ensure compliance with security provisions are followed.
  • Performs routine document center support functions, such as, photocopying, delivering items, assembling notebooks, packing boxes and preparing them for shipment, retrieving case file materials, and completing log sheets.
  • Receives, date stamps, reviews, and routes documents via multiple fiscal electronic mailboxes (e.g., Travel request, invoices, transcripts).
  • Assists with closed file room responsibilities, including closed file records requests and shipments. Update closed file logs.
  • Performs data entry into various USAO databases.
  • Prepares documents for imaging and scanning.
  • Maintains inventory/control records and ordering supplies.
  • Completes all aspects of travel in accordance with Federal Travel Regulations (FTR) and Department of Justice (DOJ) policies, including travel arrangements; preparing cost comparisons, submitting authorizations; completing vouchers; and submitting local mileage claims.
  • Sorts and date stamps incoming mail and prepares outgoing mail including packaging boxes for shipments.


Requirements:


Experience: At a minimum, candidates must have a minimum of 2-3 years of administrative / receptionist experience in a professional office environment (experience working in the legal industry is highly desirable). Experience interacting with the public is extremely important.


Education: At a minimum, candidates must have a High School Diploma or equivalent (any post-secondary education is preferred).


Skills: The right candidate will have solid organizational skills; top-notch time management skills; a streamlined and polished communication style (both oral and written); meticulous attention to detail; and the ability to remain calm and poised at all times.

Additionally: Candidates must be skilled in the Microsoft Office suite, specifically Excel spreadsheets, and Word documents. Ability to handle confidential and sensitive matters professionally and with discretion. The ability to interact with the public is essential.


This is a full time / 40 hours per week position. Candidates will be working onsite each day (telework is not available for this role). This position offers the accrual of 2-weeks of paid time off each year, paid federal holidays and is eligible to enroll in our health benefits program.
