This role involves managing the front desk, answering and directing calls, handling incoming and outgoing mail, and assisting with various administrative tasks to ensure smooth office operations.
Key Responsibilities:Front Desk Management:
- Greet and assist visitors, ensuring a positive and welcoming experience.
- Answer and direct incoming phone calls to the appropriate departments or individuals.
- Maintain a clean and organized reception area.
Administrative Support:
- Manage incoming and outgoing mail and deliveries.
- Assist in scheduling appointments and coordinating meeting rooms.
- Maintain office supplies inventory and place orders as needed.
- Assist with clerical tasks such as filing, data entry, and document preparation.
Customer Service:
- Address general inquiries from visitors, clients, and staff, providing accurate information.
- Handle basic troubleshooting or escalate issues to the appropriate department.
Communication:
- Effectively communicate with internal teams and external contacts.
- Relay messages accurately and promptly to relevant parties.
Security:
- Monitor visitor access and maintain security by following office protocols.
- Issue visitor badges and ensure sign-in procedures are followed.
- High school diploma or equivalent. Additional qualifications in office administration or a related field are a plus.
