Job Description

The Immigration Legal Assistant will work closely with the attorney and team to help provide the best service for our clients. The candidate will be tasked with various duties including but not limited to drafting documents, conducting legal research, and maintaining and organizing files.

The Receptionist is responsible for handling heavy volume of incoming calls, greetings clients and visitors with a smile, maintaining office common areas, and perform administrative duties.

Job Qualifications

  • Proficiency in English and Spanish is required
  • Education: High school diploma or equivalent (preferred)
  • Experience: At least one year in a professional setting (preferred),
    At least one (1) year experience with case management for clients (preferred)
  • Ability to work independently
  • Demonstrate a team-oriented collaborative work style
  • Excellent written/verbal communication skills with attention to detail
  • Excellent hands-on computer skills
  • Excellent interpersonal skills
  • Ability to multi-task and utilize critical thinking skills
  • Familiar with case management software, Microsoft Word Suite, Adobe Pro, and other legal technology

Job Responsibilities

  • Responsible for working with attorneys in the preparation, filing, and monitoring matters
  • Point of contact for all clients with an immigration case
  • Work with clients to gather the necessary information and documentation in a timely manner
  • Saves and scans client documents
  • Draft and mail out important documents
  • Fill out and complete client forms
  • Update clients on case status and answer any questions relating to their case
  • Make and keep track of payments
  • Monitor the status of all filed applications and petitions
  • Coordinate, schedule, and maintain an accurate calendar for the attorney
  • Greets clients promptly and consistently sets professional tone with friendly assistance
  • Answers incoming office calls over multi-line system and answers questions, takes messages, or transfers to desired extensions
  • Accepts incoming mail and packages and routes to appropriate staff
  • Manages inventory of office supplies and office equipment
