We are seeking a Legal Administrative Assistant to join our team.

This role encompasses a dual function, primarily enhancing the delivery of exceptional legal services to clients by offering secretarial and administrative support to attorneys. This includes executing complex and specialized clerical tasks while fostering a collaborative and cooperative team environment.

The selected candidate will primarily assist a designated group of attorneys while also providing supplementary secretarial support as needed.


KEY RESPONSIBILITIES

Delivering Outstanding Client Service:
Manage main phone lines and direct calls; warmly welcome clients and vendors.

  • Ensure timely dispatch of mail, including regular, certified, and overnight services.
  • Conduct legal research as required.
  • Handle e-filings, prepare pleadings binders, update indexes, and create exhibits.
  • Maintain and organize files systematically.
  • Draft standard pleadings, correspondence, memoranda, and various documents.
  • Review vendor invoices for accuracy; prepare check requests and submit invoices for payment promptly.
  • Understand client-specific billing guidelines and apply them consistently for cost-effective practices.
  • Participate in the timely review and submission of prebills and client bills.
  • Exhibit strong clerical skills, including typing, transcribing, word processing, and managing spreadsheets and presentations.
  • Accurately file court documents electronically and in hard copy, adhering to local or judge-specific requirements.
  • Demonstrate good judgment and organizational skills to manage information on behalf of clients and assigned attorneys.
  • Provide friendly and efficient telephone support and receptionist relief.
  • Proofread all documents meticulously to ensure accuracy before distribution or filing.
  • Anticipate the needs of assigned attorneys to enhance efficiency (e.g., drafting correspondence and preparing documents in advance).
  • Regularly review and follow up on client deadlines and calendar appointments.
  • Coordinate and arrange meetings, including depositions, mediations, and vendor reservations.
  • Assist attorneys with tracking compliance, presentations, training programs, and other business development activities.
  • Prepare and submit client intake forms accurately.
  • Follow standard naming and profiling conventions when managing documents.
  • Update client files, notebooks, and pleading indices consistently.
  • Maintain attorney-specific case lists and status updates.
  • Manage audit requests effectively.
  • Update all relevant contact records in a timely manner.
  • Review and file client-related emails accurately.
  • Prioritize work assignments appropriately.
  • Seek assistance when conflicts arise.
  • Complete assigned tasks punctually.
  • Handle multiple assignments and deadlines while maintaining professionalism.
  • Offer assistance to colleagues when necessary.
  • Accurately enter, review, and revise timesheets.
  • Proofread documents independently to ensure completeness.
  • Develop and maintain systems to enhance organization and efficiency.
  • Comply with office policies regarding file management and recordkeeping.
  • Effectively manage deadlines and key dates.

QUALIFICATIONS

  • High school diploma required (College degree preferred).
  • Minimum of five years of experience as a legal secretary required.
  • Familiarity with legal research tools and document management systems.
