The Role

Reporting to the Manager, Accounts Receivable, the Accounts Receivable Specialist is responsible for the daily collections of all sales & service invoices for OWL Services – Northeast division. This will include, but is not limited to collection e-mails, phone calls, client portals, and account reconciliations. This individual will also collaborate with other departments to resolve customer disputes and implement process improvements. We are looking for a self-driven and motivated team player. The role will be located on site in Manchester, NH.

Responsibilities

  • Communicate discrepancies to the management team, identify slow-paying customers, and recommend potential collection candidates
  • Strengthen and grow relationships with customers while communicating past due balances
  • Assist in streamlining the accounts receivable process by identifying areas of improvement
  • Conduct collection calls and/or correspondences to solicit payment on overdue accounts, while also maintaining current accounts to help decrease DSO
  • Provide customer service regarding resolution of customer requests and disputes, while collaborating with distribution, billing, and service leads
  • Reconciliation of customer accounts and payment discrepancies, i.e. payment remittances, short pays, overpays, prepayments
  • Reconciliation of portals with customer accounts within the accounting software
  • Prepare and send final demand letters, when applicable and prepare accounts for 3rd party collections
  • Record intercompany cash receipts
  • Generate and send monthly statements
  • Assist with month-end close, i.e. AR adjustments and miscellaneous AR entries
  • Assist with site builds for dispatch calls
  • Other duties as assigned

Required Skills and Qualifications

  • 3–5 years of collections experience
  • Understanding of basic principles of finance, accounting, and bookkeeping
  • Proficiency with Microsoft Excel, i.e. VLOOK-UPs, Pivot tables, etc.
  • Strong communication skills both written and verbal
  • Ability to multi-task in a fast-paced environment
  • Detail oriented
  • Ability to work with a team

Preferred Skills and Qualifications

  • Associate’s degree or equivalent
  • Experience with SAGE 300 is a plus, but not required
  • Experience in accounts receivable and general ledger knowledge
  • Experience in driving process improvements
