We have completed over 3.5 million square feet of Class A retail space and over 100 build-to-suit projects for a wide range of retail, restaurant, medical, and service properties and tenants. While we continue to be a leader in the retail development industry, we have expanded our expertise to include office and multi-family development. The purpose of the property management administrator position is to assist with the day-to-day functions of the property management department. The focus for this position is to support the property manager and the director of property management by performing administrative work and working closely with the team to ensure all tenant requests are completed and followed up expeditiously. We offer a flexible, team-focused work culture and are looking for someone who is seeking a work family and home.

Responsibilities:
  • Maintain the master tenant contact database.
  • Maintain the master vendor contacts database.
  • Maintain the vendor list for each property.
  • Maintain the utility account and contact list for each property.
  • Document and respond to Tenant service requests.
  • Maintain tenant and vendor insurance certificate files.
  • Obtain certificates as needed.
  • Maintain the tenant sales reports for each property and ensure tenant compliance with sales reporting requirements.
  • Review and code AP invoices.
  • Maintain schedule of active work orders with job status.
  • Establish and maintain relationships with tenants and vendors.
  • Prepare commencement/acceptance letters,
  • Confirm satisfactory completion of repairs with tenants and/or vendors
  • Prepare incident reports.
  • Provide administrative support.
  • Process work orders.
  • Maintain lease files, vendor files and property files.
  • Maintain water meter accounts for tenants and ensure proper billing.
  • Run and distribute regularly scheduled A/R reports for the property manager and the assistant property manager.
  • Assist with monthly rent collections as directed.
  • Assemble and distribute the monthly property management reports for each property.
  • Basic knowledge of Yardi and Microsoft software

Hours/Benefits:
  • Monday - Thursday (8:00-5:00), Friday (8:00-3:00). Working full time in office
  • Offer Medical/Dental/Vision, 401k matching.
