Position Overview:

We are seeking a detail-oriented and organized individual to join our team as a

 

Bookkeeper/Administrative Assistant. The ideal candidate will be responsible for

managing financial transactions, maintaining accurate records, and providing administrative support to ensure efficient office operations.

Key Responsibilities:

Bookkeeping

  • Record day-to-day financial transactions including purchases, sales, receipts, and payments using accounting software.

  • Reconcile bank statements and ensure accuracy of financial records.

  • Prepare and send invoices to customers and track accounts receivable.

  • Process accounts payable including vendor invoices, expense reports, and reimbursements.

  • Assist with payroll processing and ensure timely payments to employees.

Financial Reporting

  • Generate financial reports such as balance sheets, income statements, and cash flow statements.

  • Prepare monthly, quarterly, and annual financial statements for management review.

  • Analyze financial data and provide insights to support business decision-making.

Administrative Support

  • Manage office supplies and equipment, replenishing as needed.

  • Handle incoming and outgoing correspondence, including emails and phone calls.

  • Schedule appointments, meetings, and travel arrangements for staff.

  • Assist with the preparation of presentations, reports, and other documents.

 

Record Maintenance

  • Maintain organized and up-to-date filing systems for financial and administrative documents.

  • Ensure compliance with accounting policies, procedures, and regulations.

  • Safeguard confidential information and sensitive financial data.

Requirements and Qualifications: 

  • Proven experience as a bookkeeper or similar role, with knowledge of basic accounting principles.

  • Proficiency in accounting software such as QuickBooks

  • Strong attention to detail and accuracy in data entry and record-keeping.

  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

  • Solid communication skills, both written and verbal.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).

  • Associate degree in accounting, finance, or related field preferred. Bachelor’s degree in accounting preferred

  • Minimum of 3 years of experience in administrative management.

  • Excellent communication skills in both English and Spanish.

  • Capable of lifting in excess of 25 pounds

Schedule: 

Full Time Position: Monday to Friday (Weekend Availability)

Compensation and Benefits: 

Salary will be commensurate with experience and qualifications.
