Vedder Price is seeking a dedicated Legal Administrative Assistant to join our team. This role is essential in providing comprehensive support to our attorneys and paralegals, ensuring a high standard of client service and operational efficiency.

Key Responsibilities:

  • Facilitate the preparation, revision, formatting, and finalization of a diverse range of legal documents.
  • Assist attorneys with client onboarding processes, including conflict checks and audit documentation.
  • Accurately record attorney billable hours in the timekeeping system to meet weekly reporting requirements.
  • Collaborate with the Accounting Department to manage client billing and receivables effectively.
  • Demonstrate proficiency in arranging and managing travel logistics, including air, hotel, and ground transportation.
  • Handle incoming communications by answering, screening, and directing phone calls and responding to client inquiries.
  • Manage incoming mail and ensure it is reviewed and routed appropriately.
  • Support fellow Legal Administrative Assistants as needed to fulfill firm and client requirements.
  • Assist Shareholders in preparing for both internal and external meetings.
  • Maintain organized paper and electronic client files in accordance with firm policies.
  • Engage with various departments within the firm to provide optimal legal support.
  • Prepare and submit expense reports in a timely manner.
  • Oversee attorney calendars and coordinate client meetings.

  • Willingness to work core business hours with flexibility for additional hours as needed.
  • Advanced skills in formatting legal documents, including briefs and pleadings.
  • Knowledge of electronic filings and federal court processes.

Qualifications & Required Experience:

  • Preferred Associate's degree.
  • A minimum of five years of experience as a legal administrative assistant in a law firm setting, supporting multiple attorneys.
  • Ability to perform under pressure and meet tight deadlines.
  • Experience with managing monthly client billing processes is preferred.

Computer Skills:

  • Proficiency in Microsoft Word, Adobe, PowerPoint, and Excel is essential.
