About the Assistant Community Manager Role:

The Assistant Community Manager plays a key role in supporting performance standards and overseeing various aspects of community operations. This individual focuses on developing, empowering, and motivating team members to achieve desired business outcomes. Acting as the 'Manager on Duty' in the absence of the Community Manager, the Assistant Community Manager assists with scheduling and task assignments and enhances the sales process by guiding and coaching Senior/Leasing Consultants.

Key Responsibilities:

Sales and Marketing

  • Welcome prospective residents warmly and establish a personal connection while identifying their needs and preferences
  • Handle all incoming calls efficiently, whether they are from prospects, residents, or related to service requests
  • Ensure accurate completion of lease applications, assist with verification, and promptly inform prospective residents of application outcomes
  • Conduct regular updates on competitive properties, including market surveys on pricing, specials, and events
  • Enter data accurately and promptly into relevant systems, and prepare leasing reports as required
  • Maintain impeccable conditions in the office, clubroom, apartment models, and 'market ready' units
  • Assist in Social Media advertising based on directives from the Manager
  • Prepare for move-ins by inspecting apartments, arranging move-in gifts, and assembling move-in packages as instructed
  • Be knowledgeable about the neighborhood to provide information to prospects and residents confidently
  • Complete all assigned duties promptly and effectively

Operational Standards

  • Collect rents and make necessary deposits
  • Maintain accurate records in Yardi, update rental and deposit information daily, and issue relevant notices when required
  • Provide regular updates on vacancy, resident activities, and other essential reports to the Community Manager
  • Participate in Revenue Management calls when necessary
  • Supervise the tasks of Concierge and Leasing Consultants as per the Manager's instructions and staffing model
  • Handle new lease and renewal paperwork, including relevant addendums
  • Communicate with residents when needed and attend training sessions as recommended
  • Ensure compliance with all policies, procedures, and Fair Housing regulations
  • Fulfill all other assigned duties efficiently

Customer Service

  • Support the customer service vision for Mill Creek Residential
  • Communicate service guarantees and standards to prospects and residents
  • Address and resolve customer concerns promptly and professionally
  • Assist new residents during move-ins and handle lease renewals and move-outs
  • Share ideas for enhancing resident satisfaction with the Community Manager
  • Engage in the property renewal program to boost resident retention
  • Accept and process service requests from residents, ensuring timely resolution and resident satisfaction
  • Inspect the property regularly, report service needs, and maintain cleanliness
  • Uphold the Mill Creek mission, values, and brand promise in all actions
  • Enforce the Mill Creek Brand Promise, Service Standards, and Manifesto
  • Complete all other assigned duties promptly and effectively

Qualifications and Experience

  • High School diploma or equivalent (GED), Bachelor's degree preferred
  • Minimum of 2 years of multi-family leasing or related property management experience
  • Dedication to delivering exceptional customer service
  • Excellent communication skills (written and verbal)
  • Experience in multi-family or related property management, retail sales, or hospitality

Skills and Knowledge

  • Proficient in English communication (written and verbal)
  • Demonstrate professionalism in issue resolution with residents
  • Thorough understanding of community, inventory, pricing, and local area competition
  • Continuous research on competitors' pricing, amenities, and features
  • Computer skills including Microsoft Word, Excel, Entrata, Yardi, and Revenue Management Software
  • Basic arithmetic skills for measurements and calculations
  • Ability to operate office equipment and devices effectively
  • Willingness to travel between multiple communities if needed
  • Punctuality, adherence to schedules, and accurate time documentation
