Position Summary

The position is to provide major administrative support to the Office of Mission Integration (OMI) including budget management, event coordination, program marketing, office management as well as help create a welcoming environment for the office.

Essential Duties and Responsibilities

Budget Management:

Maintain and track multiple budgets and expenses.
Help prepare budget reports.
Create, process and monitor all accounting functions for OMI, including vendor quotes, contracts, requisitions, purchase orders, invoices, check requests, reimbursements, and budget transfers, and reconcile expenditures in Banner.
Work closely with the Finance Office and mediate all finance-related queries.
Make purchases, compile records and complete monthly reconciliation of VPMI's University purchasing card.
Events Coordination:

Maintain events calendar of OMI opportunities and submit event information to Campus Connection on a timely basis.
Assist with event logistics including scheduling, venue selection and reservation, catering, creating and extending invitations, event set-up, and follow-up.
May also assist in contacting guest speakers, and in facilitating events.
Marketing and Communications:

Work closely with University Marketing & Communications to create marketing materials for mission education, event and program promotion and office visibility; maintain the OMI website and blog; and help produce videos for weekly reflections and educational purposes.
Create and edit a monthly OMI newsletter for internal audience, soliciting submissions from faculty, staff, administrators and students.
Office Coordination:

Assist with creating timelines and tracking tasks for the OMI and VPMI.
Maintain OMI calendar of activities (including but not limited to events).
Assist VPMI by managing, organizing and maintaining OMI files, resources, correspondence, etc.
Serve as a liaison to all offices that interact with the OMI.
Create a welcoming atmosphere in the OMI.
All other duties as assigned.
Requirements

Minimum Qualifications

Education – A College Degree
Experience – Six months to two years (Equivalent combination of education and employment verification).
Knowledge, Skills, and Abilities

Self-starter able to anticipate and attend to multiple details involved in planning an event or program in collaboration with their supervisor; attentive to details with strong organizational skills; strong troubleshooting skills;
Relevant budget management skills and knowledge of Banner and other budget management systems;
Knowledge and experience in using a wide variety of software (MS Office and Image editing tools such as Adobe Photoshop; other software for web development); Experience with learning management system like Blackboard or budget management system like Banner;
Excellent oral and written communication skills; strong proofreading and editorial skills;
Strong interpersonal skills, able to work collaboratively with diverse constituents; able to create a welcoming and inclusive environment;
Able to maintain confidentiality.
The ideal person for this role is open and interested in professional development in mission and strengthen the necessary skills to contribute to the development of the Office of Mission Integration and its work. A desire to grow the position to take on greater responsibility for mission integration work at the university is desired.
Knowledge of the Catholic, Jesuit, Mercy mission of the institution a plus.
Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).

Work Environment

Regular exposure to favorable conditions such as those found in a normal office.
