Job Overview

POSITION SUMMARY
The Program Coordination Specialist will deliver operational and administrative assistance to the diverse initiatives managed by SMS Group of Companies. This role is essential in supporting both internal and client-oriented planning efforts. Guided by Senior Management, this pivotal position will cater to various program requirements, including but not limited to program and project formulation, research, and case study analysis, operational assistance, as well as marketing and business development activities.

KEY RESPONSIBILITIES

  1. Assist in project management to ensure the successful closure and delivery of organizational projects.
  2. Develop a comprehensive understanding of SMS Group's products and services to effectively represent the company to clients and prospects.
  3. Support, create, and deliver presentations to facilitate program execution.
  4. Optimize executive time by managing correspondence, drafting documents, and conducting research.
  5. Handle administrative tasks such as project coordination, meeting scheduling, and managing communications with subcontractors and clients.
  6. Effectively manage resources across various functions to successfully complete projects.
  7. Support daily program operations and maintain communication with both internal and external stakeholders.
  8. Independently manage program tasks, collaborate with team members, develop project materials, and prepare status reports for clients and management.
  9. Facilitate meetings, including kickoff sessions and proposal reviews, ensuring timely approvals for submissions.
  10. Conduct research, proofreading, and editing of program documentation and marketing materials for clarity and accuracy.
  11. Maintain the executive's calendar by organizing meetings, conferences, and travel arrangements.
  12. Represent the executive in meetings when necessary, articulating their viewpoints effectively.

  9. Proven ability to manage tight deadlines and adapt to changing priorities.
  10. Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, etc.).
  11. Demonstrated capability to collaborate closely with a diverse group of sales and technical professionals.
  12. Interest in working collaboratively to test ideas dynamically.
  13. Ability to work independently, manage time efficiently, and produce original content while refining and compiling information from relevant documents.
  14. Capacity to prioritize tasks, meet deadlines, and manage multiple responsibilities from program planning to client interactions.

MINIMUM REQUIREMENTS

  1. Bachelor's Degree in engineering, business, or environmental science.
  2. Willingness to travel.
  3. Minimum of 2 years' experience in supporting executive-level program initiatives.
  4. Capability to develop and deliver high-quality client-facing presentations.

PREFERRED QUALIFICATIONS

  1. Experience in energy efficiency.
  2. 5+ years' experience in supporting executive-level program initiatives.
