Main Purpose of Job

The main purpose of this position is to ensure accuracy and accountability while performing a variety of�clerical and fiscal duties involving financial records keeping and transactions related to departmental�functions including processing agency's invoices, maintaining the agency's telecommunication system,�and MLGCA check stock.\r

POSITION DUTIES

\r
Prepare invoices and expenses to be approved by the Operations Supervisor and/or Facilities Director�for telecommunications, vehicles, furniture, postage, electricity, supplies and materials, and general�operations office and equipment maintenance and rentals. Contact vendor for any discrepancies or�questionable charges.
---Work with the finance department to adjusts any incorrect postings and coding�errors to the budget, and provide the correct agency object code to be charged. Provide department�director a copy of the reconciled budget report with year-to-date expenses, outstanding payments, and�available department budget balance.\r
Create and maintain database and spreadsheet of division invoices, corporate card, and purchase orders.\r
Review department procurement requests for all department purchases ensuring that they have the�correct budget codes and correct and filed accordingly.\r
Manage the check stock and spreadsheet of checks issued to Customer Resource Center Claims office�and Finance Division for Lottery winners, and the agency's working fund. Manage the signed�documentation of checks issued to managers/supervisors of requesting department.\r
Ensure the security of checks stored and secured in a locked file cabinet and secure room.\r
Supervise the receipt of checks received in the mail (various mail couriers), and logged in receipt book;�ensuring accuracy, fraud, and inconsistency to minimize written void receipts.\r
Oversee, manage, monitor the agency's telecommunications system and equipment; maintain�phone records. Address individual and departmental concerns and troubleshooting agency's�telecommunications systems service calls in response to phone lines and voice mail issues.\r
Reconcile phone bills for overage charges, usage; relay to assigned user to stay within allocated minutes.\r
Receive, plan, prioritize telecom jobs/work orders; order replacement telecom equipment from NEC�and Verizon Business Solutions (cell phones and accessories).\r
Manage agency's Verizon MyBiz account, add and assign phone lines, change user name, and order�employee cell phone, new or upgraded. Works with managers/supervisors in the delivery of various�telecommunication reports for in-house (MDE) and cell phones (Verizon).\r
Assist the Operations Manager with administrative duties as assigned, such as Reconcile monthly�reports for Carroll's Fuel, Element Maintenance, and EZ Pass to ensure that there are no misuse and�abuse in fuel purchase, and mileage agrees with mileage entry on the last fuel purchased. Authorize�maintenance/and repairs reconcile with the invoice. EZ pass transponder used for business purposes�only; that there is no misuse or abuse for off-duty hours and weekend usage of EZ pass transponder�assigned to vehicles. Also, provide director and chief operating office with copy of reconciled reports.\r
Assist/Backup to POS and Facilities processing FMIS receiving.\r

MINIMUM QUALIFICATIONS

Education:�� Graduation from an accredited high school or possession of a high school equivalency certificate. \r
Experience:�One year of administrative staff or professional work. \r

1. Candidates may substitute 30�college credit hours from an accredited college or university for�the required experience.\r
2. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included�regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required�experience. \r
