Major duties include but are not limited to:
Routes materials requiring action by staff, establishes controls for follow-up to ensure action is completed.
Screens all outgoing correspondence for neatness, clarity, correct grammatical content, and adherence to established format and procedures.
Recommends changes in procedures when appropriate. Independently initiates and prepares routing correspondence and reports.

Takes and transcribes personal, conference, telephone, and committee meeting minutes which is frequently of a highly technical and confidential nature.

Independently prepares minutes of meetings for the signature of staff, checking for correct spelling, punctuation, grammar, and format of completed work.

Prepares agendas and minutes for distribution, included attachment, and action item follow-up and as needed.

Answers phones, screen calls, text messages, transfer calls, locate staff or emergency messages, and assures phone coverage when away from desk.

Greets and screens visitors and patients, referring them to staff members.

Handles many requests in person for information and resolves or assists in resolving a variety of complaints or inquiries made by patients and their families.

Schedules meetings for Service staff.

Provides general administrative and clerical duties for all Behavioral Health Programs which specifically includes maintaining contacts and communicating data to the Medical Center Behavioral Health Program managers and chiefs in a timely and professional manner.

Prepares required reports for Behavioral Health Program and enters statistical data into the computer.

Enters patient data into computers for analysis, retrieves patient data and assist in maintaining methods of relocating patients after discharge.

Maintains extensive record keeping systems as needed by Behavioral Health Programs.
Assists in planning and coordinating conferences, workshops, seminars, and meetings; helping to arrange travel and accommodations.
Process Applications for continuing education credit hours.
Generates attendance forms and provides administrative assistance to staff, speakers, and those in general attendance.
Incumbent safeguards all written and verbal matters that are confidential including patient information, litigation, information from the computer.

Is able to determine nature of patient inquiry including request for emergency treatment, medication refills, and refers patient to proper area.

If determined to be an emergency, contacts the proper staff member.
Photocopies both sensitive and non-sensitive material.
Manages crisis situations until professional can be notified.
