Position: Department Admin Support
Role Summary: This position entails a variety of administrative and clerical responsibilities aimed at facilitating the operations of the legal department. The successful candidate will assist in managing office supplies, organizing team events, and providing logistical support for appointments and travel arrangements.
Key Responsibilities:- Scheduling and Communication:
- Assist in organizing and moderating global meetings, including webcasts and conference calls, while preparing presentation materials.
- Coordinate logistics for legal team meetings.
- Manage messaging and distribution of communications within the legal team.
- Team Engagement and Activities:
- Plan and manage events such as large meetings and team-building activities.
- Organize celebrations and team activities.
- Coordinate meetings for internal and external visitors, including office reservations.
- Travel Coordination:
- Provide travel booking assistance for legal department personnel and support for executive travel arrangements. Manage travel bookings and expense report submissions.
- Office Administration:
- Assist team members with various requests related to IT, HR, facilities, and training.
- Monitor and replenish office supplies as needed.
- Handle incoming and outgoing office correspondence and documentation.
- Prepare for new employee onboarding.
- Organize supplies, equipment, and workspace arrangements.
- Support the setup and maintenance of SharePoint sites.
- Previous experience in administrative support is required.
- Familiarity with expense reporting and travel booking processes is essential.
- Training will be provided for company-specific tasks.
