We are currently looking for a passionate and experienced individual to join our team as our Administrative Assistant. Responsibilities include coordinating and providing administrative support to the AGM University Executive Team with confidence and professionalism. Prioritizes and manages multiple projects simultaneously and follow through on issues in a timely manner.
AGM University serves a diverse student population, offering bilingual education to the community for traditional and non-traditional students.
ESSENTIAL FUNCTIONSManage all correspondence, sort, and distribute mail and faxes.
Schedule and request mail services (FedEx, UPS, etc.).Participate in staff and official meetings and prepare minutes of meetings.
Maintain and correctly manage confidential information. Support daily operations by handling and storage products, materials and inventory management ensuring effective utilization.
Provide administrative support in the preparation of letters, presentations, conference calls, appointments, reports, and other documents, as required.
Provide support in the executive management team travel calendars and keep them updated.
Coordinate the executive management team lunch meals, as needed.
Assist in the preparation of the per diem allowance, travel, and hotel arrangements for executive members, as needed.

Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect company style and organizational policy.

Create, prepare, and deliver reports to various departments, as needed.
Screen/prioritize/direct incoming calls and mail/correspondence, taking appropriate actions as necessary.
Assist in any meeting preparation arrangements and special projects requested from any of AGMU executive management team.
Serve as liaison between the administration, community organizations and campuses.
Provide general information to visitors.
REQUIREMENTSBachelor's degree in business administration, education or related Three (3) years of related work experience required. Ability to express both, verbal and written, fluently in English and Spanish.
Strong work ethic and sense of integrity, trustworthiness, and ability to maintain a high level of confidentiality.
Excellent interpersonal and team building skills.
Ability to work, develop and maintain positive, professional relationships with diverse groups of people.
Highly organized and able to prioritize and multi-task in a fast-paced, team-oriented environment.
Ability to communicate effectively and professionally with the public, staff, students, and faculty members.
Excellent phone etiquette.
Attention to detail and customer service oriented.
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
Ability to travel, as needed.
