Job Title: Office Administrator

Vaco is currently seeking a highly organized and self-motivated Office Administrator to join our clients expanding organization.The Office Administrator will be responsible for delivering top-tier administrative support, welcoming and directing visitors, and efficiently handling phone calls and emails. Ideal candidates will possess exceptional verbal and written communication skills, adept multitasking abilities, and a warm and professional demeanor.

Responsibilities:

  • Welcome visitors and provide general assistance as needed.
  • Oversee office activities and operations to ensure efficiency and adherence to company policies.
  • Conduct clerical tasks, such as filing, phone call management, email responses, and document preparation.
  • Monitor incoming and outgoing mail, receiving and signing for mail/packages from couriers, and distributing them to the appropriate recipients.
  • Manage schedules, travel arrangements, appointments, and more for upper management.
  • Maintain and oversee office equipment, inventory supplies, and procure replacement supplies as required.
  • Coordinate building and maintenance issues for general repair and updates.
  • Act as a liaison with executive and senior administrative assistants to address requests and inquiries from senior managers.
  • Organize special functions and social events.
  • Provide administrative support for operations team and assist other departments and colleagues as needed.

Qualifications:

  • At least 2 years of relevant experience in an office environment, with a preference for administrative experience.
