The organization seeks a highly organized Project Coordinator to join its dynamic Ops team. In this pivotal role, the PC will ensure seamless project execution from start to finish, working closely with PMs, subs, GCs, and vendors across the diverse client base. The ideal candidate excels in multitasking, possesses strong analytical skills, and thrives in a fast-paced, tech-driven environment. Responsibilities span administrative oversight, financial tracking, inventory management, and stakeholder communication. A keen eye for contract document review is essential for risk mitigation and project optimization. This position offers growth opportunities within a challenging and rewarding industry.


Responsibilities and Duties:


  • Adhere to all company safety policies and procedures
  • Review contract documents thoroughly
  • Issue RFQs and POs
  • Calculate and recommend cost benefits of alternate material sources
  • Review project progress with PM for accurate monthly billings
  • Work with Controller to create and submit SOVs for progress billings
  • Optimize in-house inventory through proper planning and purchasing
  • Prepare and document material transfers
  • Manage receiving and staging parts for designated projects/PMs
  • Resolve shipping, receiving, and inventory inaccuracies with stakeholders
  • Coordinate material pick-up, sign out, and release to project/service teams
  • Generate new hire paperwork for sub management, including agreements
  • Produce and submit P1 COI or W-9 docs for GC onboarding
  • Work with Ops team on project deadlines, assist in producing weekly schedules
  • Follow company policies and take direction effectively
  • Work constructively with co-workers and consider improvement ideas
  • Keep others informed and address problems constructively
  • Keep commitments and respect workforce diversity
  • Other duties as assigned


Qualifications:


  • 2-4 years relevant experience in admin/PC support role
  • HS diploma or equivalent
  • MS Office proficiency (Excel, Word, PowerPoint); MS Project a plus
  • Excellent communication and organizational skills
  • Detail-oriented and customer-focused
  • Ability to follow all company policies and work well in a team setting
  • Provide accurate daily timesheets with job numbers and location
  • Maintain understanding of in-house inventory and company supply kits
  • Report all accidents, incidents, injuries, and other pertinent information
  • Read/interpret docs, write correspondence, communicate effectively in English
  • Competent in basic math, including ratios, percentages, and graph interpretation
  • Define problems, collect data, establish facts, draw valid conclusions


Requirements:


  • Willing to work OT and weekends as needed
  • Willing to work out of town up to 25% of the time, as needed
  • Ability to lift or move products (up to 50lbs)
  • Valid DL required (subject to company FSP)
