This position requires the ability to multi-task day-to-day activities, meet deadlines, and ensure compliance with company policies. The Office Administrator ensures the smooth and efficient operations of the office to enable agents to maximize production. This role candidate must work independently with minimal supervision.

Responsibilities:

  • Handle all aspects of compliance, following the SOP manual, track license expirations, and follow up with required renewals. Ensure the website and rosters match
  • Handle all aspects of compliance, update all internal records with activity, submit documents, update logs, file audits, and maintain records
  • Handles various accounting functions. Ensure timely and accurate submission of transactions into Accounting Software, track escrow closings, and check receipt
  • Create commission disbursement for approval, coordinate commission payment with compliance
  • Ensure appropriate vendors are entered to be paid, and audit invoices from vendors
  • Keep the office clean and supplied
  • Ensure marketing ads are submitted by the deadline, and work with agents for advertising opportunities. Help promote agent exposure
  • Plan and promote meetings, training, events,
  • Attend sales meetings and trainings
  • Respond to agent inquiries and any other tasks as assigned

Qualifications:

  • Strong computer skills in Microsoft Office, especially Excel, Word, and Outlook.
  • Experience with the Internet, Google, Zipforms, and MLS helpful
  • Strong organization and follow-up skills.
  • Strong communication and interpersonal skills
  • Strong ability to prioritize duties and solve problems
