Job Summary

We are seeking a highly motivated and organized Construction Office Administrator to support our client's construction team in Carlsbad, CA. As a key member of the office team, you will be responsible for managing company workflow communications, providing support to team members, and assisting with organizing field operations.

Key Responsibilities
  • Manage employee on-boarding and termination records, including new hire paperwork and exit paperwork.
  • Prepare and maintain payroll and certified payroll/labor compliance documentation, including weekly tracking and reporting.
  • Assist with payroll processing, including payroll taxes, employee deductions, and reimbursements.
  • Manage employee training documents, including office, field, and state requirements.
  • Prepare monthly fringe benefit reports and maintain document control.
  • Ensure subcontractor vendor compliance, including waivers and releases.
  • Maintain company licenses, insurances, and certifications.
  • Manage agency and new client pre-qualifications and company asset inventory.
Requirements
  • 2-5 years of experience in construction office administration.
  • Proficiency in Microsoft Office, Adobe, Dropbox, and Google Drive.
  • Construction accounting software experience a plus.
  • Knowledge of labor compliance and union fringe benefit reporting a plus.
  • High school diploma or GED required.
  • Strong attention to detail and written and verbal communication skills.
  • Ability to work independently and be a self-starter.
