Valiant is seeking a Training Administrative Support Specialist to support our customer's challenging requirements at a location in Virginia. A TS/SCI security clearance with polygraph and familiarity with the site is required to apply for the position. As the Training Administrative Support Specialist, you will work with our client and peer support teams to ensure seamless trainee onboarding, training exercises, course events/activities and course director/instructor support are achieved while delivering the highest quality of professional service. This also includes coordinating and scheduling local and offsite training exercises, events, and activities that take place in multiple locations which may include base access, dining arrangements, and lodging. Participate in and work with client course director and training instructors on course development, execution, course improvements, and changes as needed to ensure consistent high-quality delivery and effective training.

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Communication and Interpersonal Skills: Required to network with a wide variety of on and off base entities. For each course the vendors and venues roles, responsibilities and schedules must be established, and all support entities must be coordinated and collaborate with for all events and activities to function properly. This includes crafting effective email correspondence, following up, and providing excellent communication to clients, peers, management, vendors, and venue representatives. Position is expected to develop a general understanding of what trainees, course management, course director, and instructors expect. 
  • Team Management: Demonstrate team management and leadership skills to work as a team member with support colleagues and base support teams to ensure the teams work is delegated properly and that information is shared so everyone has what they need to get the task done successfully.
  • Logistics: Prioritizing, scheduling, and coordinating logistics and ad hoc support for trainee onboarding, training event venues, services, and base support as they arise during the course. Everything in an event must be set up in a practical and useful manner for the trainees and guests. Therefore, the position shall possess a level of skill in logistics and supply chain management to properly plan the details and anticipate potential problems that may arise. Responsibilities for Material Support & Training Support Specialist Develop and foster strong relationships with colleagues, course management, instructors, and external base wide support constituents to promote a culture of quality learning and excellence.
  • Partner with colleagues, course management, instructors, and external support constituents to gauge training needs, problem solve and identify new opportunities and/or coordinate quick fixes and workarounds to potential problems that may arise. Providing fast, accurate and helpful responses to training inquiries and efficiently managing the training inbox.
  • Contribute to team processes and creating efficiency across the training team, share information with other team members related to specific process improvements or changes.
  • Work with Support team that is responsible for creating and updating on-line databases, updating the SharePoint site, training files and assisting with training support materials development.
  • Assists in implementing training standards and determines how training requirements work with current training methods.
  • Performing a variety of general clerical duties for the training staff and management, including but not limited to; conducting post-training follow-ups, and creating training materials as needed.

  • 5+years’ experience as administrative support, training/conference support, or general support position 
  • 5+ years' experience using industry standard Microsoft office software tools (e.g., Outlook, Excel, Access, PowerPoint), and miscellaneous office equipment. Computer familiarity and knowledge of office software programs (Sharepoint, Imagine, etc.).
  • 5+ years of support experience demonstrating extensive skills and knowledge of customer service, organizational skills, sound judgement, and professionalism.
  • 3+ ears relevant experience with base support elements and their required office software to interact and task them including but not limited to Security, Logistics, Facilities, Finance, and Training and Conferencing.
  • Experience interfacing consistently and effectively with customers to define requirements, identify issues, negotiate changes, problem solve, meet deadlines, and manage priorities.
  • Effective in working collaboratively with others, customer service focused and have ability to work independently and to work in a team.
  • Strong briefing and writing skills as well as the ability to work well with teams or individually with minimal supervision. 
  • Highly dependable, adaptable, and organized individual with the ability to multi-task.
  • Ability to present to a small group.
  • Reliable, self-motivated, good time management, and results oriented.
  • Proactive and prompt with a strong attention to detail demonstrating sound judgement
  • Results oriented that improves speed and accuracy in completing administrative tasks over time.
  • Ability to travel domestically up to 10 (ten) days at a time and up to 6 (six) times a year to support training. 
  • Ability to be flexible with time and may be required to work into the evening or weekends with advanced notice.
