Executive Assistant/Facilities Coordinator

The Executive Assistant and Facilities Coordinator will provide comprehensive support to the Founder and Owner. The ideal candidate will excel in utilizing resources effectively to anticipate and address the needs of executives, while upholding the highest standards of professionalism and confidentiality. Strong communication skills, exceptional organizational abilities, and proficiency in managing multiple tasks and conflicting priorities are essential.

Responsibilities:

  • Provide administrative support, including efficient management of calendars, scheduling and coordinating meetings, and overseeing all correspondence.
  • Plan and organize complex travel itineraries, encompassing flights, accommodations, and transportation arrangements. Ensure all travel logistics are handled seamlessly and in timely manner.
  • Efficiently handle a wide range of personal errands and tasks, including making reservations, scheduling and managing personal appointments, shopping, and attending to daily activities to ensure the Founder and Owner’s personal and professional life runs smoothly.
  • Assist with special projects and tasks assigned by the Founder and Owner. This may include research, report preparation, and coordination with other staff or external partners.
  • Oversee and manage relationships with service providers, including those handling cleaning, security, and maintenance for the facility.
  • Monitor and manage inventory levels for kitchen supplies, including food, beverages, utensils, and cleaning products. Conduct regular inventory audits to identify shortages and place orders as needed to maintain well-stock supplies.
  • Provide front-desk administrative coverage as needed to maintain facility security.
  • Maintain the highest level of professionalism and confidentiality in all interactions.
  • Organize and maintain files, ensuring documents are easily accessible and up to date.
  • May perform other tasks as needed.


Basic Qualifications:

  • 3+ years' experience as an administrative assistant or similar role in a professional environment providing executive level support.
  • Strong organization and time-management skills.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite and relevant software.
  • Ability to multitask and adapt to changing priorities.
  • Elevated level of discretion and confidentiality.
  • Ability to work independently, leverage resources to analyze and investigate a variety of questions or problems and provide solutions.
