The Administrative Executive and Facilities Manager will deliver extensive assistance to the Founder and Owner. The successful candidate will demonstrate an ability to effectively utilize resources to foresee and meet the needs of executives, while maintaining the utmost standards of professionalism and confidentiality.

Key Responsibilities:

  • Offer administrative assistance, including proficient management of calendars, scheduling and coordinating meetings, and overseeing all correspondence.
  • Organize and arrange intricate travel plans, including flights, accommodations, and transportation logistics, ensuring all travel details are managed efficiently and punctually.
  • Handle a variety of personal errands and tasks, such as making reservations, scheduling personal appointments, shopping, and managing daily activities to ensure the seamless operation of the Founder and Owner's personal and professional life.
  • Support special projects and tasks assigned by the Founder and Owner, which may involve research, report preparation, and coordination with other staff or external partners.
  • Manage relationships with service providers, including those responsible for cleaning, security, and maintenance of the facility.
  • Oversee and maintain inventory levels for kitchen supplies, including food, beverages, utensils, and cleaning products, conducting regular audits to identify shortages and placing orders as necessary.
  • Provide front-desk administrative coverage as required to ensure facility security.
  • Uphold the highest level of professionalism and confidentiality in all interactions.
  • Organize and maintain files, ensuring documents are accessible and current.
  • May perform additional tasks as required.


Essential Qualifications:

  • 3+ years of experience in an administrative role or similar position providing executive-level support.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficient in Microsoft Office Suite and relevant software applications.
  • Ability to multitask and adapt to shifting priorities.
  • High level of discretion and confidentiality.
  • Capacity to work independently, utilizing resources to analyze and resolve various questions or challenges and provide effective solutions.
