Key Responsibilities:

  • Offer administrative assistance, including effective management of schedules, organizing and coordinating meetings, and overseeing all forms of communication.
  • Arrange and coordinate intricate travel plans, including flights, lodging, and transportation. Ensure all travel logistics are executed smoothly and punctually.
  • Manage a diverse array of personal tasks and errands, such as making reservations, scheduling personal appointments, shopping, and attending to daily activities to ensure the seamless operation of the Founder and Owner's personal and professional life.
  • Support special projects and tasks assigned by the Founder and Owner, which may involve research, report creation, and collaboration with other staff or external partners.
  • Supervise and maintain relationships with service providers, including those responsible for cleaning, security, and maintenance of the facility.
  • Track and manage inventory levels for kitchen supplies, including food, beverages, utensils, and cleaning materials. Conduct regular inventory checks to identify shortages and place orders as necessary to ensure well-stocked supplies.
  • Provide front-desk administrative coverage as required to uphold facility security.
  • Uphold the highest level of professionalism and confidentiality in all interactions.
  • Organize and maintain documentation, ensuring files are easily accessible and current.
  • May undertake additional tasks as required.


Essential Qualifications:

  • 3+ years of experience in an administrative support role or similar position within a professional setting providing executive-level assistance.
  • Strong organizational and time-management capabilities.
  • Exceptional communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite and relevant software applications.
  • Ability to manage multiple tasks and adapt to shifting priorities.
  • High level of discretion and confidentiality.
  • Capacity to work independently, utilizing resources to analyze and resolve a variety of questions or challenges and provide effective solutions.
