Job Overview

Key Responsibilities:

  • Meeting Preparation: Efficiently organize quarterly board meetings, develop presentation materials, and manage catering logistics.
  • Executive Assistance: Provide support to the President with phone communications, travel planning, meeting arrangements, and contract oversight.
  • Confidential Information Management: Ensure the protection of sensitive information with discretion.
  • Project Documentation Management: Maintain essential project documents, including plans, status updates, meeting notes, and action item lists to facilitate informed decision-making.
  • Calendar Coordination: Anticipate scheduling needs, gather pertinent information, and track follow-up actions.
  • Special Initiatives: Coordinate visits from studio partners and manage corporate sports ticket allocations.
  • Ongoing Development: Stay updated on market trends, customer insights, and departmental activities to support the President's strategic initiatives.
  • Strategic Project Support: Assist in the planning, organization, and execution of strategic projects.
  • CRM Expertise: Document meeting insights, provide analytical input, and generate reports utilizing CRM software.

Qualifications:

  • Education and Experience: A Bachelor's Degree is required, with a preference for candidates possessing over 5 years of administrative experience.
  • Technical Proficiency: Strong command of Microsoft Office Suite is essential.
  • Analytical Skills: Exceptional problem-solving abilities and expertise in data collection are necessary.
  • Project Coordination Experience: Background in project coordination, particularly with a strategic focus, is preferred.
  • Executive Support Experience: Experience supporting senior executives or top management is advantageous.
  • Organizational Abilities: Superior organizational and time-management skills, with an aptitude for prioritizing tasks and meeting deadlines.
