Reporting Structure
The Area Operations Manager reports directly to a Vice President of Operations and oversees Account Leadership. This position collaborates with various departments including business development, finance, human resources, and safety to meet organizational objectives.
Key Responsibilities
A. Operational Management:
1. Directs and supervises the daily facility services at all current and prospective accounts within the designated region.
2. Advocates for the company’s mission and values through actions and communication.
3. Strives for a 95% retention rate among existing clients.
4. Conducts in-person reviews of quarterly reports with clients biannually.
5. Establishes specific performance benchmarks and communicates annual goals to team members, leading through performance metrics.
6. Maintains compliance with CIMS programs and accreditations across all accounts.
7. Ensures that routing information is current and accessible in all necessary languages.
8. Implements company policies and procedures, ensuring accessibility of information for the workforce.
9. Monitors staffing levels across all account locations to optimize operational efficiency.
10. Achieves acceptable APPA scores at each site.
11. Fosters strong relationships with key clients and decision-makers.
12. Conducts site inspections and audits to evaluate service quality and operational effectiveness, following up on any issues.
13. Develops and enforces quality assurance protocols to assess service delivery at individual accounts.
14. Ensures adherence to standardized operational processes.
15. Initiates random payroll audits in collaboration with Human Resources.
16. Stays informed about new service offerings and communicates updates to relevant directors.
17. Utilizes key technology applications effectively.
18. Coordinates the start-up and closure of accounts, ensuring successful transitions.
19. Demonstrates strong interpersonal skills, effectively engaging with employees and clients at all levels.
20. Cultivates productive relationships with clients to ensure the delivery of contracted services.
21. Maintains the trust and confidence of Operations Directors, Account Directors, site personnel, and clients.
B. Business Development:
1. Oversees special sales initiatives and collaborates with Account Directors to formulate strategies aimed at achieving a 10% annual revenue increase.
2. Supports business development efforts to generate new sales leads.
3. Actively manages contract renewals to ensure continuity of service.
C. Financial Oversight:
1. Reviews and assesses account budgets, focusing on managing overhead, labor, materials, and service contract costs to meet financial targets.
2. Utilizes financial scorecards monthly to drive performance.
3. Monitors payroll hours for accuracy and timely processing, ensuring alignment with budgetary goals.
4. Oversees purchasing and inventory management across all account locations, collaborating with Account Directors and Corporate Finance.
5. Closely tracks receivables to meet area targets.
6. Develops and implements cost-saving initiatives among assigned accounts.
D. Human Resources Management:
1. Participates in the recruitment and selection of account leadership roles, working closely with Human Resources.
2. Fully utilizes the Kwantec system for staffing and training purposes.
3. Conducts ongoing training for account leadership and holds regular one-on-one meetings with Directors.
4. Provides mentorship for emerging leaders within the organization.
5. Oversees the hiring process for non-exempt personnel, ensuring compliance with all regulations.
6. Evaluates the performance of direct reports annually and develops succession plans.
7. Prepares contingency plans for staffing in anticipation of new accounts.
8. Establishes career development pathways for Operations Directors, Area Directors, and Account Directors.
