A. POSITION PURPOSE
This position serves as the Head Proctor for summative assessments (principally final examinations)
administered by the Law School. The position supervises the staff and students; serves as the budget
manager for overall law school assessment and associated expenses. The position also involves
providing a wide range of administrative support to an assigned group of faculty, lecturers, and
students. This position reports to the Assistant Dean for Academic Operations.

B. ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Serve as Head Proctor for all Law School examinations

Administer midterm and final examinations for approximately 700 law students, who each take somewhere between 4 and 10 exams each semester, including scheduling exams, training and supervising proctors.Forecast, recruit and train volunteer staff exam starters and temporary employees.Enforce the Law School's honor code and examination procedures.Work with Law School and University departments to ensure the smooth administration of examinations.Work with the Assistant Dean of Assessment to ensure that disabled students are appropriately accommodated in exam rooms and that exam room proctors are appropriately trained to manage accommodations.Work with the Law Technology Department to provide communication to students with notice of appropriate technical support, both for hardware and software, in the administration of examinations.Manage large staff of exam proctors and starters. Supervise, schedule, and train staff and student exam proctors and starters.Solicit staff volunteers from within the law school community to assist in each proctored exam room.Communicate and manage student work schedules and reporting hours.Hold regular proctor and exam training for all members of the Exam Team.Contribute and communicate performance evaluations for students and internal exam staff.Create exam report each semester, reporting up to the Assistant Dean.Oversee reschedule and accommodated scheduling processes.

2. Work with the Assistant Dean of Assessment to develop and implement policies regarding Law School examinations and other forms of summative assessment

Develop a detailed set of procedures and action plans to ensure the academic integrity of all examinations administered in Law School courses.Ensure the timely submission and preparation of examinations by faculty and lecturers.Supervise the timely production of those exams for administration.Ensure accuracy and efficiency in the examination software, building and support processes.Manage the process by which completed exams are collected and distributed to faculty to ensure the integrity of the examination process.

3. Manage the exam return and review program, consistent with the expectations of faculty members, to ensure students are able to gather timely feedback

Provide outreach and advise faculty on the latest assessment feedback options in accordance with recommended best procedures.Oversee and coordinate the assessment archival processTrain and supervise administrative staff on the exam return/review preparation process as well as student interface procedures.Communicate policies to students and oversee procedures, ensuring exam integrity and faculty preferences.Attend Faculty Assessment Committee meetings as neededDevelop and launch a new return/review process integrating electronic feedback, student anonymity, and exam integrity.Create and implement new assessment review policies and procedures in accordance with law school resources and ABA requirements.

4. Oversee the assessment accommodations scheduling process

Oversee the creation of the accommodations exam schedules in the law school matrixHire and train all OAE room proctorsCreate assessment room grids to accommodate 250+ extended time examsSupervise the scheduling communications to OAE students from the Office of AssessmentRefine and oversee the delivery and pickup processes from University OAETrain OAE staff on law school assessment policies and proceduresCollaborate with the law school exam auditor in relation to rescheduled OAE students.

5. Day-to-day exam leadership, coordination, administration

Create and maintain the exam web page with updated information on software updates as well as 1L/Upper division exam schedules.Assist (as needed) in creating presentation materials and reporting on program opportunities and activities for students and faculty.Assist in developing and administering surveys for feedback relating to program.Assist Assistant Dean in preparing and copying assessment e-materials and communications.Interact with faculty, students, and staff regarding inquiries and procedural questions.

6. Manage the in-class exam scheduling process

Using the appropriate web editing software, post the course schedule ensuring that information is correct and that all required information is included.Research schedule information, soliciting data from professors.Create the exam schedule to minimize conflicts, meet faculty needs and follow exam policies.Supervise the integration of make-up classes and review sessions within the Law Administrative Services office.Under the supervision of the dean of assessment, coordinate all future exam period dates and information sessions; including but not limited to "First Year Fridays", fall in-class exam orientation for 1L's, end of semester Q&A sessions.

7. Provide administrative support to law faculty, lecturers, academic centers, and clinics, to further their teaching, research, and service-related endeavors, as needed

Maintain effective and timely communication with faculty and staff.Proofread and type correspondence, exams, and course material.Complete payment requests and reimbursements.Maintain organized files as requested.Management of confidential institutional filesArrange travel as needed.


8. Other Duties

Serve on Law School/University committees as neededAssessment presentations to student body/facultyOccasionally coordinate/provide backup for Law Administrative Services and Dean's Office.

D. QUALIFICATIONS
1. Education and Experience

Bachelor's degree is required or an equivalent combination of education and experience.5 years of relevant work experience in higher education is preferred, and experience in a law school or law firm is strongly preferred.

2. Knowledge, Skills and Abilities

Strong PC skills, including word processing, spreadsheet, databases programs, and email required; the ability to learn to use new software (such as Google Apps) is essential.Knowledge of general office procedures, standards, and equipment; ability to interact and communicate effectively with faculty, staff, and students.Strong organizational skillsHigh degree of attention to detail required.Excellent written and oral communication skills.Strong collaboration and leadership skills.
