Job Description:

As an Academic Program Specialist at the UF Health Cancer Center (UFHCC), you will be responsible for helping to manage the programmatic offerings of the Cancer Training & Education Program (CTEP), including development of program materials, events planning, and other activities in support of the educational mission of the UFHCC. 

In your new role you will be responsible for the following:

Coordinating and distributing program materials, curricula, schedules, etc. to program participants as well as for conducting program evaluations and follow-ups to ensure the program is successfully and satisfactorily meeting the needs of the Center. Assisting with developing and coordinating a variety of programmatic activities including annual retreats, multi-site conferences, interdisciplinary teaching sessions, and local program meetings, assisting with content creation as needed. Playing a substantial role in executing recruitment activities, assisting with development of advertisements and distribution to internal listservs and institutional partners. Working with the appropriate program leadership and/or oversight committees for the development of program objectives. Supporting calls for training grants and contracts, coordinating communications with the UFHCC Division of Research Development and ensuring reviews and other related meetings occur according to RFA schedules and guidelines.

Minimum Requirements:

Academic Program Specialist I: Bachelor's degree and one year of relevant experience; or an equivalent combination of education and experience.

Academic Program Specialist II: Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

Knowledge/Experience:

Academic Program Specialist I:

Bachelor’s Degree in in Education, Public Administration, Business Administration, or appropriately relevant field. Some knowledge of student affairs and general administration, some professional office experience ideal, but not required. Some experience with planning, executing, and evaluating programs, meetings and conferences successfully, including vendor selection, site selection, contracting and budgeting ideal, but not required.

Academic Program Specialist II:

Bachelor’s Degree in in Education, Public Administration, Business Administration, or appropriately relevant field. Two to three years’ experience in academic program coordination, student affairs, and/or graduate affairs, preferably in the health sciences. Experience with planning, executing, and evaluating programs, meetings and conferences successfully, including vendor selection, site selection, contracting and budgeting. Knowledge of UF systems, as well as general administrative functions including travel, and complex meeting planning in an academic medical research or higher education environment strongly preferred. Experience with UF procurement policies and practices and effective vendor management, to include contract negotiations. Foundational understanding and skills in research administration to include federal grants management guidelines, with a special focus on the administration of T- training grants and their related programs.

Proficient time management skills and demonstrated ability to prioritize, manage multiple projects, anticipate and identify conflicts, and meet deadlines with excellent attention to detail. Excellent oral and written communications skills, especially proof-reading and presentation development. Proficiency using the Microsoft Office suite.
