Job Description:

The Academic Assistant at the UF College of Dentistry, Department of Continuing Dental Education plays a vital role in supporting the effective administration of continuing education courses and academic activities. This position involves various responsibilities, including the administration of courses, managing student enrollment through our registration system, data entry and management using Microsoft Office, updating course catalogs on the website using WordPress, and performing general office duties such as email correspondence and phone handling. The ideal candidate for this role should possess excellent organizational skills, attention to detail, and the ability to work efficiently in a dynamic academic environment.

Monday-Friday 8:am-5:pm, some weekends.

This is a full-time position with occasional weekend work, where the weekday schedule will be off-set when working weekends.

Administration:
• Assist faculty and administrators in the smooth coordination, communication and organization of continuing education courses.
• Coordinate scheduling, room bookings, and other logistics related to continuing education courses.
• Facilitate communication between faculty and students regarding course-related matters.
• Ensure that course information, schedules, and related details are current and accessible to students/participants.
• Respond promptly and professionally to email inquiries.
• Handle incoming phone calls, provide information, and redirect calls when necessary.
• Assist with general office tasks, including filing, scanning, and organizing documents.

Student Enrollment and Registration:
• Utilize the college's registration system to manage student enrollments efficiently.
• Guide students through the enrollment process and address any registration-related inquiries.
• Ensure accurate and up-to-date student records, including course selections and academic standing.

Data Entry and Website Management:
• Accurately input and maintain academic and administrative data using Microsoft Office applications (e.g., Excel, Word, PowerPoint).
• Manage databases and electronic records pertaining to course information, student details, and academic resources.
• Generate reports and summaries as required by faculty and management.
• Use WordPress to update and maintain the college's course catalogs on the official website.

Course Production and Hospitality:
• Act as on-site coordinator for courses.
• Assist with set-up, course registration, hospitality, and break-down.

Minimum Requirements:

High school diploma or equivalent and two years of relevant experience.

• Ability to become proficient in using specific computer software programs (i.e.,
