Essential Qualifications:

  • At least 4 years of experience in a comparable position.
  • Expertise in organizing meetings, managing calendars, and arranging travel (both international and domestic), along with handling expense reports.
  • Proven skills in orchestrating various types of meetings, including town halls and global conferences.
  • Experience in overseeing contract approvals and maintenance.
  • Capability to assist in the creation of presentations, newsletters, and other communications.
  • Proficient in establishing and maintaining SharePoint sites.
  • This role will provide support to 5 senior leadership members.
  • Digitally proficient, with a strong command of the MS Office Suite, Concur, Ebuy, and Smartsheet (preferred).

Educational Background: An Associate's Degree is required, although a Bachelor's Degree is preferred.

Job Responsibilities:

  • Deliver comprehensive administrative assistance to one or more managers.
  • Responsibilities may differ based on the department and the level of management supported.
  • Provide administrative support that necessitates a thorough understanding of departmental functions, including the preparation of grammatically accurate correspondence, reports, tables, and analyses.
  • Exercise discretion when handling confidential materials and information.
  • Assist with special projects as assigned.
  • Propose enhancements to administrative processes and implement necessary changes. Responsible for the organization and upkeep of the department's filing system, including potentially sensitive data. Ensure that departmental supply needs are fulfilled.
  • Manage departmental communications for managers, including mail and email. Respond to various inquiries for information according to established guidelines.
  • Coordinate meetings, maintain calendars, and arrange travel as needed.
  • May provide clerical support as required, including filing, faxing, copying, and data entry.
  • May offer guidance and training to less experienced administrative personnel. Complete additional tasks as requested.
  • Frequent interactions with individuals from other departments and external organizations.
  • Contacts involve obtaining or providing information or data on matters of moderate significance to the department's function or that may be of a sensitive nature.
  • Demonstrated ability to apply requisite skills and additional knowledge gained through experience to perform more complex tasks. Generally operates with minimal supervision on routine assignments, receiving general instructions on new work, which is reviewed upon completion.
  • Years of Experience: 4 years in a related role. Minimum Education: Associate's Degree, Bachelor's Degree preferred.
