Since its inception, the Institute has been committed to training healthcare professionals and managing programs that benefit underserved communities.
Role Overview:
The Human Resources Specialist with Immigration Duties will be instrumental in overseeing a range of human resources activities, primarily centered on immigration processes.
This role involves collaboration with employees, management, and external entities to ensure adherence to immigration laws and regulations while promoting a seamless onboarding experience for visa holders and non-compensated personnel.
Your duties will encompass guiding these individuals through the onboarding journey, offering essential information and support, and aiding their integration into our organizational environment.
Key Duties:
Oversee the comprehensive immigration process for staff, including visa applications, extensions, and renewals.
Act as the main contact for staff regarding immigration-related inquiries and provide guidance on visa processes.
Coordinate with external legal advisors to ensure timely and accurate submission of immigration documentation.Maintain current knowledge of immigration laws, regulations, and compliance standards.
Collaborate with hiring managers and recruiters to facilitate immigration procedures for prospective staff.
Work with internal departments, such as Legal, Compliance, and Payroll, to ensure cohesive handling of immigration issues.
Prepare and manage immigration-related documentation, including forms and reports.
Conduct regular audits to ensure compliance with immigration regulations.
Assist in formulating immigration policies and procedures to enhance operational efficiency.
Stay informed about changes in immigration policies and proactively communicate updates to relevant stakeholders.
Coordinate onboarding activities for new hires, including orientation sessions and completion of necessary documentation.
Interpret and enforce HR policies consistently across the organization.
Stay informed about federal, state, and local employment laws to ensure compliance in all HR functions.
Maintain HRIS databases and personnel records, ensuring data integrity and confidentiality.
Generate HR reports and analytics to support decision-making and provide insights into HR metrics.
Develop and implement an onboarding framework specifically for non-compensated personnel, including volunteers and interns.
Collaborate with relevant departments to ensure that all necessary resources and training materials are prepared for onboarding.
Conduct orientation sessions to introduce non-compensated personnel to our organization's mission, values, and policies.
Serve as the primary contact for non-compensated personnel throughout the onboarding process, addressing their inquiries and needs.
Provide ongoing support to help non-compensated personnel adapt to their roles and responsibilities.Work with HR and relevant departments to evaluate the effectiveness of the onboarding process and suggest improvements.
Qualifications:
- Bachelor's degree in human resources, business administration, or a related field; advanced degree preferred or 6+ years in Human Resources
- Minimum of 3 years of experience in immigration administration or a related field.
- Comprehensive understanding of immigration laws and regulations, including visa types and work permits.
- Strong attention to detail and exceptional organizational abilities.
- Excellent communication and interpersonal skills, capable of engaging effectively with employees at all levels.
- Ability to work independently and manage confidential information with care.
- Relevant certifications (e.g., SHRM-SCP, PHR, etc.) are preferred.
- Strong interpersonal and communication skills, with the ability to connect with individuals from diverse backgrounds.
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities effectively.
- Proficiency in Microsoft Office and other relevant software applications.
