Program Coordinator
Total Site Solutions (TSS) is seeking a motivated individual to become a vital member of our talented team. In this pivotal position, you will support Senior Program Managers and Directors in the comprehensive planning, execution, and monitoring of diverse projects. Your contributions will be essential in outlining project objectives, selecting and managing subcontractors, preparing detailed agreements, and closely observing client requirements.
Your responsibilities will also encompass the management of project close-out documentation to ensure seamless project completion. You will facilitate communication with stakeholders, enhancing their engagement by keeping them informed about project developments, progress, challenges, and involving them in significant decisions. You will assess program risks, formulate contingency strategies, and oversee the resolution of issues as they emerge throughout the project lifecycle.
Additionally, you will implement and manage necessary changes to guarantee that project objectives are met. Regular meetings with stakeholders will be part of your role, ensuring clear and transparent communication regarding project challenges and service decisions. You will be responsible for producing accurate and timely reports on program status throughout its duration for management and stakeholders.
The ability to communicate effectively with leadership, engage with clients and sales representatives, and coordinate project activities to align with client timelines is crucial. Key Responsibilities- Support Senior Program Manager in project planning while effectively managing customer and stakeholder relationships.
- Assist in ensuring clients receive an exceptional customer service experience.
- Review and assist with the scope of work, quoting, and terms and conditions prior to proposal submission.
- Monitor budgetary audits and challenges, ensuring collaboration with cross-functional resources to maintain project health.
- Facilitate formal internal project kickoff meetings with key stakeholders and document meeting minutes.
- Assist in resolving contract challenges.
- Coordinate program and project activities across operational staff.
- Work with facilities teams to ensure client equipment lists and related customer data are accurate and up to date.
- Manage supporting documentation and first-line approvals for invoice approval.
- Assist in the development and preparation of change orders.
- Coordinate work priorities as directed.
- Prepare submittal, startup packages, and close-out documentation as required.
- Assist with vendor and subcontractor selections, preparation of sub-contracts and purchase orders, and documentation for meetings.
- Identify, track, organize, and prepare project close-out documentation for review.
- Prepare program and project schedules using project management software.
- Input project information into management systems.
- Participate in internal financial discussions for reporting.
- Adhere to design and construction standards for execution of work.
- Follow safety and quality assurance programs for all design and construction services.
- Understanding of project services and scope.
- Familiarity with project management techniques and methods.
- Ability to assist in planning, implementation, execution, and documentation of quality services throughout the project cycle.
- Experience as a team member in effective project teams.
- Strong oral and written communication skills.
- A Bachelor's degree in business, engineering, or a related field, or equivalent experience.
- Experience in leading or participating in technical or engineered projects.
- Proficient in Computerized Maintenance and Management Systems.
- Familiarity with accounting software.
- Extensive use of project management and office software.
- Possession of relevant certifications is highly desirable.
