Quest Group Executive Search & Staffing Solutions is seeking a skilled Legal Billing Coordinator

Key Responsibilities:

  • Oversee the BillBlast system by onboarding new users, mapping client accounts, and addressing issues with Aderant support.
  • Integrate timekeepers and users into the firm's billing software.
  • Establish new clients and client programs within electronic billing platforms.
  • Provide training for new billing specialists on the firm's billing software and BillBlast.
  • Support Billing Specialists during their absence on submissions, errors, and urgent matters.
  • Assist the Records Manager with conflict checks and the initiation of new matters.
  • Remove inactive timekeepers from electronic billing sites as necessary.
  • Generate billing reports as requested by management.
  • Update rates in the firm's billing software and inform Senior Billing Specialists for adjustments in electronic billing platforms.
  • Report billing discrepancies to the Accounting Manager and collaborate on solutions.
  • Inform management of any new or revised client billing guidelines.
  • Manage attorney matter assignments and credit splits.
  • Control access to billing site logins for new and former billing staff.
  • Assign attorneys to Billing Specialists and Senior Billing Specialists.
  • Maintain and update billing tracking reports.
  • Draft billing procedures for the department handbook and SharePoint portal.
  • Address inquiries from attorneys and staff within the firm.
  • Communicate with clients as directed by attorneys.
  • Lead meetings with billing specialists regarding new and updated firm procedures or client guidelines.
  • Keep client billing guidelines current and maintain a reference guide for outdated guidelines.
  • Perform additional duties and projects as assigned by management.

Qualifications:

  • A minimum of 4 years of experience in law firm billing, including managing timekeepers, rates, and electronic billing.
  • Familiarity with BillBlast, Ebilling Hub, or similar software.
  • Experience with SurePoint LMS is a plus but not mandatory.
  • Strong verbal and written communication skills for professional interactions with internal and external contacts.
  • Ability to manage multiple tasks or projects simultaneously.
  • Proficient in prioritizing tasks effectively.
  • Self-motivated with the ability to work independently and collaboratively.
