The Billing Operations Manager oversees all facets of the firm's billing team, including team management, workflow coordination, and professional development. This role serves as a critical information and quality control manager for the group. The ideal candidate possesses extensive knowledge of legal billing processes and a comprehensive understanding of various eBilling platforms such as BillBlast, eBilling Hub, and Aderant.
Key Responsibilities:
- Delivers comprehensive updates regarding billing operations to management.
- Prepares and reviews reports on a daily, weekly, or monthly basis as needed.
- Administers the BillBlast and other eBilling vendor platforms.
- Oversees the implementation of eBilling for new clients, transitions to new systems, matter setups, timekeeper approvals, budgets, and appeals.
- Monitors and reviews billing transactions to ensure efficiency, accuracy, completeness, and compliance with client and firm policies.
- Develops strategies to enhance workflow efficiency.
- Collaborates with departmental leaders to resolve billing inefficiencies.
- Addresses inquiries related to billing, ensuring a high level of customer service.
- Acts as a liaison between the legal team, billing team, and other divisions.
- Manages a team of approximately 10 billing specialists.
- Identifies opportunities for the professional growth of team members.
- Works with leadership to train and develop team members.
- Maintains clear expectations for the team and monitors compliance.
- Utilizes technology to maximize efficiency while upholding professionalism.
- Ability to thrive in a deadline-driven environment, managing multiple priorities.
- Extensive knowledge of operational strategies and business models for billing.
- Strong understanding of eBilling application functionalities.
- Familiarity with Aderant, Elite, or 3E software systems.
- Knowledge of Legal Electronic Data Exchange Standard (LEDES) billing formats.
- Proven leadership skills with a focus on personnel and process improvement.
- Ability to establish and maintain positive working relationships with attorneys and staff.
- Strong project management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Detail-oriented with a commitment to accuracy.
- Strong analytical, organizational, interpersonal, and presentation skills.
- Capable of analyzing complex issues and implementing solutions.
- Proficient in Microsoft Word and Excel.
- B.A. or B.S. degree preferred; equivalent knowledge, skills, and experience will be considered.
- A minimum of five (5) years of progressive billing experience with supervisory responsibilities.
- Proven track record as a skilled team manager with improved performance outcomes.
- Experience in a law firm is required.
