Position Overview:

The Multi-Site Billing Coordinator plays a crucial role in managing the billing process across various locations. This position is responsible for the accurate and timely processing of customer invoices and resolving any billing discrepancies. The ideal candidate will build and maintain strong relationships with both external clients and internal teams to achieve billing objectives and support cash flow goals.

Key Responsibilities:

  • Examine completed service orders within the billing system.
  • Verify and audit pricing, labor, and material costs against service orders.
  • Collaborate with technicians and management to clarify any questionable charges.
  • Communicate significant margin variances to management for review.
  • Generate customer invoices accurately and promptly.
  • Reconcile billing information with third-party customer portals.
  • Engage with clients and internal teams to address and resolve billing issues.
  • Maintain updated billing schedules and customer profiles to ensure service needs are met.
  • Participate in the onboarding process for new clients.
  • Work closely with Service Coordinators and Credit Department to optimize workflow.
  • Perform additional duties as necessary to support business operations.

Qualifications:

High School Diploma or GED with a minimum of 2 years of experience in accounting, customer service, or dispatch roles, preferably in a multi-site environment. Experience in the HVAC or facility maintenance sectors is advantageous.

Work Environment:

This role is based in a standard office setting with moderate noise levels. Occasional extended hours may be required during peak periods.
