Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at the Heartland Center for Behavioral Change. As a key member of our front desk team, you will provide exceptional customer service, manage administrative tasks, and support the overall operations of our organization.

Key Responsibilities
  • Administrative Support: Provide routine administrative support to our team, including compiling and maintaining records, entering and retrieving information, and performing general clerical duties.
  • Customer Service: Serve as the first point of contact for our clients, providing a high level of customer service and establishing a positive rapport with consumers and guests.
  • Scheduling and Coordination: Schedule consumer appointments, enter appointments into our Carelogic system, and book clinicians with appointments.
  • Communication and Correspondence: Prepare and distribute mail, prepare office supply and maintenance work orders, and enter, update, retrieve, and disseminate information from computerized records.
  • Record Keeping and Filing: Establish and maintain filing systems, prepare records for storage and/or archiving, and sort and file correspondence, documents, and records alphabetically, numerically, or by other established methods.
  • Team Support: Provide relief to the Intake Coordinator as needed, attend staff meetings and training, and contribute to the overall success of our team.
Requirements
  • Education: Possession of a high school diploma or GED certificate.
  • Experience: Three (3) years' secretarial or office clerical experience.
  • Skills: Knowledge of office practices, procedures, and equipment, business math computations, grammar, composition, and spelling, computer information systems and software, effective interpersonal skills, basic skills in keyboarding and use of a personal computer, good oral and written communication skills, and ability to understand and follow directions.
  • Certifications: Current certification in CPR and First Aid may be required for this position.
Working Conditions

This position requires a valid current driver's license, automobile insurance, and the ability to be insurable under the agency's motor vehicle insurance policy. The successful candidate must also comply with all requirements of HIPAA Privacy and Security Act, regulations pertaining to the confidentiality of consumer protected health information, and the Code of Conduct and Corporate Compliance Policy.
