Job OverviewPosition Title: Reception Operations Coordinator

This role is pivotal within the HR department, serving as the primary point of contact for both internal and external stakeholders. The position is a temporary assignment with the potential for a longer-term engagement for the right individual. The selected candidate will be stationed at the front desk of the HR office, facilitating communication between HR and visitors.

Key Responsibilities
  • Manage front desk operations, ensuring a welcoming environment.
  • Address inquiries from clients and employees effectively.
  • Document messages and manage attendance-related communications.
  • Oversee the call-out line and ensure timely responses.
  • Maintain confidentiality in all HR-related matters.
  • Perform both manual and digital filing tasks.
  • Utilize office equipment, including copiers and fax machines.
  • Engage with staffing agencies and track employee movements within the facility.
Required SkillsHard Skills
  • Proficiency in Excel and Outlook.
  • Experience with clerical office duties.
  • Ability to file documents both manually and digitally.
  • Familiarity with Teams and Time Clock Plus.
  • Bilingual in Spanish and English is essential.

Position Type

This is a contract role with a defined duration.

Work Environment

The position requires full-time on-site presence. The work schedule typically runs from 8 AM to 4:30 PM, with occasional overtime required. Flexibility in start times is necessary, as administrative staff may begin as early as 6 or 7 AM. The work setting is an administrative office adjacent to a production facility, necessitating the ability to navigate stairs.
