Job Title: Front Desk Administrator

Job Overview

The selected candidate will report directly to the Head of Human Resources. This role has become available following a recent promotion within the team. It is structured as a 6-month contract, with the possibility of extending into a long-term position for the ideal candidate. The individual will serve as the primary point of contact at the front desk of the HR office, facilitating communication between the HR department and visitors.

Key Responsibilities

  • Manage front desk operations, including greeting visitors and answering inquiries from employees and clients.
  • Record messages and handle attendance-related issues, ensuring smooth communication flow.
  • Oversee the call-out line and maintain confidentiality in all HR-related matters.
  • Perform filing tasks, both manually and digitally, and utilize office equipment such as copiers and fax machines.
  • Maintain proficiency in software applications including Outlook, Teams, Excel, and Time Clock Plus.
  • Deliver exceptional customer service while interacting with staff, clients, and staffing agencies.
  • Track internal movements within the organization as part of the administrative duties.

Essential Skills

  • Proficiency in Excel and clerical office functions.
  • Experience with both manual and digital filing systems.
  • Strong command of Outlook and Teams.
  • Bilingual proficiency in Spanish and English is highly desirable.
  • Familiarity with Time Clock Plus.

Position Type

This is a contract role with a duration of 6 months.

Work Environment

The position is fully on-site. The working hours are from 8 AM to 4:30 PM, with occasional overtime required. Flexibility in scheduling is necessary, as the administrative team may start as early as 6 or 7 AM. The role is situated within an administrative office connected to a production facility, requiring the ability to navigate stairs.
