Operations Supervisor

This is a pivotal role within our organization, aimed at attracting an individual with both technical expertise and business acumen who can thrive in our corporate culture. The Operations Supervisor is tasked with executing process enhancements and practices throughout the organization while ensuring adherence to company policies, industry benchmarks, compliance, and regulatory standards. This role oversees the Operational Team, ensuring that operational KPIs, financial metrics, and customer satisfaction standards are consistently achieved. Ultimately, we will rely on you to help us maintain compliance, efficiency, and profitability in our operations. The Operations Supervisor will lead and inspire the operations team, seeking opportunities to enhance the quality of customer interactions and implement best practices at all levels.
Job Responsibilities
- Accountable for the production, procurement, and strategic planning of daily operations.
- Guarantees timely, compliant, and precise management of work order processes, business data, and licensing management to ensure the company's operations remain legally compliant.
- Collaborates with the owner/CEO in formulating operational and business strategies, aligning with the CEO or Owner's vision and process ideals.
- Conducts on-site evaluations for compliance regarding licensing, vehicle regulations, EHS, safety, DOT, quality, and company policies, escalating improvement opportunities directly to ownership.
- Works in conjunction with the sales management team to fulfill commitments to clients and may participate in the sales process for select accounts.
- Provides direct assistance to office staff, technicians, and sales representatives concerning customer escalations, technical inquiries, and standard operating procedures.
- Monitors and reviews daily operational and compliance metrics, as well as the escalation, tracking, and resolution of issues.
- Supervises production staff, estimators, and claims coordinators.
- Influences vendor selection and manages ongoing vendor relationships.
- Approves expenditures and purchases made by direct reports.
- Communicates with all relevant personnel to ensure delivery timelines are met.
- Informs relevant parties of process changes to ensure successful business operations.
- Coordinates activities that impact operational decisions and business requirements.
- Ensures compliance with health and safety regulations.
- Analyzes financial data to enhance profitability, managing budgets, budgetary adjustments, and forecasts.
- Enhances operational management systems and processes while providing training for new initiatives and technology implementations.
- Guides the growth and success of the team, offering mentorship to employees.
- Manages the internal assets of the company, including equipment, materials, and supplies.
- Tracks KPIs related to production quality standards and ensures adherence to process safety standards.
- Plans, schedules, and assesses workload and manpower to ensure targets are met cost-effectively.
- Reviews workloads and manpower to ensure targets are achieved and may recruit, train, and supervise staff.
- Bachelor's degree in business administration, operational management, or finance preferred but not mandatory; 3-5 years of equivalent experience in a similar capacity.
- Ability to read, analyze, and interpret general business processes as well as federal, state, and local regulations, successfully applying and supporting compliance and process improvement initiatives.
- Proficient in presenting training and/or information, responding to inquiries from groups of managers, employees, customers, and clients both verbally and in writing.
- Valid driver's license with a satisfactory driving record.
- Skilled in utilizing computers and necessary technology, including Microsoft Office products such as Word, Excel, Outlook, and PowerPoint.
- Experience with Xactimate and XactAnalysis, leveraging reports to enhance operations.
- 3-5 years of experience as a sales or service manager or in a corporate support role preferred.
- Ability to collaborate closely with, influence, and hold senior leaders accountable for resolving issues or seizing opportunities.
- Capacity to engage and motivate others to drive results.
- Effective time and workload management skills.
- Ability to work collaboratively in a team environment.
- Excellent problem-solving and communication skills, both written and verbal.
- Experience in budgeting and forecasting.
- Experience negotiating with suppliers, subcontractors, and vendors.
- Familiarity with business and financial principles.
- Knowledge of organizational improvement and operations management.
- Strong leadership skills with proven experience as an Operations Supervisor or in a similar role.
- Outstanding organizational abilities.
- Understanding of consumer psychology, organizational behavior, and knowledge of the restoration industry.

Incumbent must be prepared to:
- Lift up to 70 pounds frequently, involving carrying, pushing, pulling, or repositioning objects.
- Stand and walk for extended periods; lifting, squatting, crawling, and crouching may be required.
- Communicate and exchange ideas with others while receiving and acting on detailed information.
- For safety reasons, must be able to use respirators, which must seal to the face in certain situations.
- Be exposed to various indoor and outdoor working conditions, experiencing changes in environment with or without air conditioning and heating.
