Senior Executive Coordinator – Location: Confidential
Compensation: $75,000 - $110,000 Annually (Dependent on Experience) + Complimentary Individual Health Benefits + 401K with Matching Contributions. This role requires full-time office presence.

As a Senior Executive Coordinator, you will be integral to our dedication to superior service and client satisfaction.
In the role of Senior Executive Coordinator, you will be essential in providing support to the executive team, ensuring seamless operations within the executive office. This position demands a highly organized, detail-focused individual with outstanding communication and interpersonal abilities, along with the capacity to manage sensitive information with the utmost confidentiality.
Key Responsibilities:
- Effectively manage executive calendars, including the arrangement of meetings, appointments, and travel logistics. Anticipate scheduling conflicts and proactively resolve them to maximize the executive's efficiency.
- Act as the primary liaison for both internal and external stakeholders, screening and prioritizing communications as necessary. Draft and prepare correspondence, emails, and various documents.
- Prepare agendas, materials, and presentations for meetings. Accurately record minutes and follow up on action items to ensure timely execution.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation, while preparing comprehensive travel itineraries. Anticipate and address any travel-related issues or changes.
- Maintain and organize a filing system for critical documents, records, and contacts.
- Provide administrative support as required, including expense reporting, budget tracking, and other tasks to facilitate daily operations.
- Assist in managing special projects and initiatives, conducting research, analyzing data, and preparing reports as needed.
- Handle confidential and sensitive information with the highest level of discretion, consistently maintaining professionalism and integrity.
- Foster positive working relationships with internal and external stakeholders, representing the office with professionalism and diplomacy.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field is preferred but not mandatory.
- Demonstrated experience as an executive assistant or in a comparable role supporting C-level executives.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a dynamic environment.
- Strong written and verbal communication skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite.
- Ability to exercise sound judgment and discretion when managing sensitive information.
- Flexibility and adaptability to accommodate shifting priorities and unexpected changes.
- Professional demeanor and strong interpersonal skills, with the capability to interact effectively with individuals at all levels.
