POSITION SUMMARY:

The Financial Operations Coordinator will work closely with the Associate Director of Financial Operations, providing essential support to the Finance team by disseminating updates regarding procedural modifications to local sites, while also aiding in compliance and reporting tasks. This role encompasses a variety of responsibilities, particularly focusing on the processing of student stipends.

To excel in this position, candidates should be adept at working autonomously and thrive in a dynamic environment where multiple priorities and deadlines must be managed effectively. A proactive approach and collaboration across teams will be crucial to meet both departmental and site requirements. The ideal candidate will possess a creative and analytical mindset, continuously seeking ways to enhance organizational efficiency and functionality, while also contributing valuable insights and recommendations.

PRIMARY DUTIES:

Financial Management for Students and Interns

• Collaborate with CRM and Payroll systems to establish new student payroll accounts.

• Execute bi-weekly payroll for students, including processing mileage and contract events.

• Generate management reports to reconcile and authorize stipend transactions.

• Prepare and distribute stipend processing timelines for incoming cohorts.

• Organize and deliver stipend checks and vouchers.

• Manage the Student Stipend Tax letter process.

• Assist with bi-weekly reconciliation of unmatched participants.

• Undertake additional responsibilities as assigned.

Support for Local Sites

• Liaise with Program Managers regarding the status of contract submissions.

• Collaborate with Program Managers to document and schedule the repayment of student advances.

• Oversee the Stipend Help ticketing system, particularly addressing high volumes of stipend-related inquiries and issues.

• Partner with IT to resolve Stipend Related Contract Manager challenges.

Team Engagement and Community Involvement

• Act as a coach and mentor for a select group of current students.

• Participate in and occasionally facilitate weekly group discussions with students.

• Attend staff meetings and training sessions.

REQUIREMENTS:

• 0-2 years of relevant work experience preferred.

• Previous experience in finance or a professional office environment is desirable.

• Familiarity with budget preparation and financial reporting is advantageous.

• Experience with MIP or similar general ledger accounting systems is a plus.

• A professional demeanor with a strong emphasis on process enhancement and customer service; excellent listening skills to drive technical requirements and solutions.

• Strong verbal and written communication abilities, with the capacity to work effectively within a matrix organization.

• Ability to adapt in a rapidly changing environment with high expectations.

• Proficient analytical skills, including the ability to interpret customer business needs and translate them into operational requirements.

• High proficiency in Excel.

COMPENSATION & BENEFITS:

Year Up offers competitive salary ranges for each of its locations, ensuring equitable and consistent pay across different markets. Salary offers are based on a candidate's skills, experience, and location. Specific salary ranges can be discussed during the hiring process.

Benefits include comprehensive healthcare options, dental coverage, and a 401(k) match for eligible participants.

Vacation policy includes three weeks of paid vacation in the first year of employment, increasing to four weeks thereafter.

Professional development funds are available to support staff in achieving their career goals ($2,500 per year).

This is a non-exempt position, compensated on an hourly basis.
