Key Responsibilities
- Provide comprehensive administrative support for district sales, including data entry for contracted orders and management of executed contracts and related documentation.
- Ensure the Territory Manager utilizes appropriate sales tools effectively, maintaining accuracy in SalesForce and PP.Net, and confirming necessary approvals.
- Notify customers electronically within stipulated timeframes, ensuring all invoicing, down payments, security deposits, and lien bond information are communicated to facilitate the contracting process.
- Handle various administrative tasks such as answering calls, welcoming customers, managing schedules, organizing meetings and office events, arranging travel and accommodations, maintaining district files, and supporting district personnel.
- Manage inventory of office supplies, EFCO Gear, 3D printing materials, and oversee the upkeep of office equipment.
- Maintain customer accounts receivable balances, fostering relationships to ensure timely collection processes are completed, and assist with customer requests for waivers, W-9 forms, and Certificates of Insurance.
- Update and maintain the customer contact database, ensuring accuracy of company logos and contact information.
- Train and support the use of sales tools, including SalesForce, Project Plan, EFCO Online, Invoice Retrieval, and SharePoint.
- Coordinate pre-employment screenings for potential candidates, ensuring all necessary paperwork and equipment are prepared prior to their start date.
- Perform additional job-related duties and special projects, including maintaining mailing lists and providing phone backup support.
Qualifications
- High school diploma or equivalent required.
- Experience in sales, collections, or administrative support is advantageous.
- Strong interpersonal and written communication skills, with the ability to prioritize tasks and adapt to changing daily responsibilities.
- Notary Public certification is required.
- Proficiency in Microsoft Word, Excel, and PowerPoint, with a typing speed of 70 words per minute.
- Familiarity with Outlook or Access is a plus.
- Detail-oriented with strong numeric and alpha skills, along with effective filing and recordkeeping abilities.
- Ability to work independently while maintaining confidentiality.
- No travel is required.
