ESPO Corporation is seeking a Project Coordination Specialist to support our client, a prominent global Architecture and Design Firm.


The Project Coordination Specialist will provide assistance to project managers across various projects of differing complexities, and may independently manage smaller projects.

This position will serve as a coordinator and liaison between clients, subcontractors, vendors, and other stakeholders throughout the project lifecycle.

The Specialist will oversee document management, maintain databases, and coordinate project activities and communications to ensure that project objectives are met within the established timeline and budget constraints.

  • Support global engineering and design teams in their efforts for Design-only and/or EPC projects.
  • Aid the Project Management team in the preparation of requests for proposal (RFP) packages, bid processes, and develop detailed scope of work documents for subsequent contracts.
  • Manage submissions from contractors, requests for information, supplemental design instructions, and site drawing logs.
  • Ensure contractor compliance with quality, safety, environmental, and material management standards.
  • Administer contracts including change order management, approval of invoices, and schedule management.
  • Assist with project control tasks, including cost reporting, scheduling, establishing project work breakdown structures, and tracking field progress.
  • Contribute to the development of internal and external reports, including project budgeting, cost reports, cash flow forecasts, and status updates for stakeholders.
  • Participate in project risk reviews and consult with the Legal Department as necessary.
  • Finalize contract and project documentation.
  • Comply with safety programs, training, and policies, while promoting and managing the safety performance of project team members and subcontractors.

Requirements:

  • Bachelor's Degree in Engineering, Construction Management, or a related field from an accredited institution with 5 years of relevant experience.
  • Exceptional written and verbal communication skills.
  • Strong analytical and problem-solving abilities.
  • Capability to excel in a fast-paced, demanding work environment, with the ability to work overtime on short notice.
  • High proficiency in Microsoft Office applications.
  • Ability to collaborate effectively with various stakeholders (Owners, Contractors, Project Managers, Engineers, and Designers) in a multi-disciplinary project team environment to resolve design or drawing issues and achieve objectives.
  • Familiarity with Primavera Contract Manager or similar change management software is preferred.
