Overview of Responsibilities

The Client Relations Specialist (Registered Client Relations Specialist if licensed) serves as the primary support for the Wealth Management Division and must demonstrate exceptional organizational abilities and interpersonal skills to effectively engage with team members, clients, and service providers. This role will assist Financial Advisors, manage all administrative tasks, and support various aspects of client operations, including the initiation of new accounts and ongoing account management. The Client Relations Specialist should be detail-oriented, adaptable, and capable of prioritizing multiple projects while taking initiative on assigned tasks.

Key Responsibilities and Essential Functions

  • Handles confidential and time-sensitive information with discretion.
  • Oversees various components of client accounts, including the establishment of new accounts, processing and submitting necessary documentation, and managing client Investment Consulting Agreements.
  • Maintains both hard copy and electronic client files.
  • Addresses alerts and action items from various platforms.
  • Becomes proficient in custodial, portfolio management, and customer relationship management software and platforms.
  • Provides operational support for clients, including trade entry and executing fund transfers.
  • Assists Financial Advisors by preparing correspondence, client proposals, presentations, and analytical spreadsheets.
  • Supports client presentations by preparing, assembling, and proofreading various documents for client portfolios, as well as PowerPoint and Excel materials for presentations and marketing collateral.
  • Performs clerical tasks such as copying, printing, assembling, and binding materials for special projects as required.
  • Coordinates client meetings, manages the Financial Advisor's calendar, reserves conference rooms, and arranges catering for meetings.
  • Supervises performance reporting and data aggregation processes.
  • Enters and maintains client data in the client relationship management system.
  • Assists with data entry for investment plans and formal financial planning projects.
  • Contributes to the development of policies and procedures related to account openings, client file maintenance, monthly client billing preparation, and other routine operational functions.
  • Performs various administrative tasks, including answering and directing incoming calls, sorting and processing incoming mail, preparing outgoing mail, managing courier services, ordering supplies, and maintaining equipment.
  • Seeks licensing and builds knowledge to progress towards becoming an Associate Financial Advisor, thereby increasing client-facing responsibilities.

Professional Qualifications

  • Preferred 3+ years of relevant experience; however, cultural fit is essential, and candidates with less experience may be considered if they exhibit the desired personal attributes.
  • Experience in professional services (finance, legal, tax, etc.) with operational or administrative experience is preferred.
  • Strong proficiency in Microsoft Office Suite, with a willingness to learn additional industry-specific technology and custodial systems as needed.
  • A bachelor's degree or equivalent of 4 years of college education is preferred.
  • Possession of current SIE & Series 7 licenses or the willingness to obtain these licenses within the first year of employment. Additional licenses may be required.
